Overview :

The dispatch coordinator plays a crucial role in ensuring the smooth and efficient operation of the dispatch department. They are responsible for coordinating and ensure efficient, compliant dispatch of drivers ensuring timely pickup and delivery, maintaining effective communication with drivers and customers to provide exceptional service along with effective utilization of the drivers.

As a Dispatch coordinator, you will be responsible for managing the daily operations, coordination with drivers and branches / clients for pickup and delivery, ensuring efficient and effective dispatching and scheduling of services. You will oversee the routing and tracking of deliveries, manage dispatch, and ensure customer satisfaction through timely delivery and excellent service. The role requires excellent communication skills with the ability to make quick decisions.  Should be able to create and develop SOP for each of the activities performed.  Create processes, forms and procedures to support the project.  

 

  • A dispatch coordinator will oversee day to day operations in U.S supporting the General Managers(FLL’s) In-house / On-site and specific responsibilities include the following:
  • Driver communication, Hours of service, Facility/ Hub Communication, Driver Schedule, HR / Trans Compliance / H&S, Asset Management, Close completed loads Constant daily communication with the team via email and/or over the phone.

  • Ensure team members are on track with scheduled day-to-day work. Provide any necessary information to driver. 
  • Manage their working hours of service using in-house tool, ensuring compliance thru driver tracking tool.
  • Communicate with front end hub and/or end disposal location as needed. Ensure trailers, loads, and personnel availability on arrival. Discuss compliance and operational challenges.
  • Updating login schedules for resources using in-house Time Management System promptly. 
  • Managing day to day operations schedule
  • Review employee training report. Communicate with team members on training status, due dates, etc. 
  • Review and close completed loads at the end of each week. Part of the revenue process.

Skill/Expectations: 

  • Excellent verbal and written communication skills.
  • Well versed with US topography.
  • Excellent interpersonal skills.
  • Knowledge and experience in U.S Transportation and Logistics 
  • Working knowledge of US DOT (US Department of Transport) 
  • High level of computer proficiency (Microsoft Office).
  • Ability to work with a variety of managers.
  • Effectively prioritize and execute tasks in a high-pressure environment.
  • Ability to think strategically and strong attention to detail.
  • Ability to manage change​.
  • To be a good Team Member
  • Ability to work Independently and be responsible for the work assigned.
  • Ability to understand issues and resolve/address strategically.

Prerequisites:

Overall 4+ years of work experience (Preferred in US Transportation & Logistics Management).

2+ years’ experience managing a remote service workforce related to transportation/delivery services (Required).

Graduate / Postgraduate in Transportation & Logistics or any other.(Preferred)

  • 05:00 PM - 2:00 AM IST (07:30 AM – 04:30 PM EST).
