Job Description
Job Purpose:- The Facilities Manager is responsible for the effective management, maintenance, and operation of the corporate office facilities. This includes ensuring a safe, efficient, and well-maintained work environment that supports employee productivity and aligns with the organization’s corporate standards. The role involves overseeing building maintenance, vendor management, office services, and space planning to ensure seamless day-to-day operations.
- Key Responsibilities1. Facilities Operations & Maintenance Manage day-to-day building operations, including cleaning, HVAC, electrical, plumbing, and general office maintenance.
- Develop and implement preventive maintenance schedules for office equipment and infrastructure.
- Supervise on-site facilities staff and coordinate with external service providers to ensure optimal performance.
- 2. Health, Safety & Compliance Ensure compliance with corporate policies, building codes, health & safety, and environmental regulations.
- Conduct regular inspections, safety audits, and risk assessments to maintain a safe workplace.
- Maintain records of safety procedures, incident reports, and compliance certifications.
- 3. Space Planning & Workplace ManagementOversee office space utilization and seating arrangements to optimize efficiency and employee comfort.
- Coordinate office renovations, reconfigurations, and relocation projects with minimal disruption.
- Support workplace design initiatives aligned with company culture and hybrid work models.
- 4. Vendor & Contract ManagementManage relationships and contracts with external vendors (security, housekeeping, catering, pest control, etc.).
- Monitor vendor performance through service-level agreements (SLAs) and ensure cost-effective delivery.
- Source and evaluate new suppliers to maintain quality and cost efficiency.
- 5. Budgeting & Cost Control Prepare, track, and manage annual facilities budgets, including utilities, maintenance, and capital expenditures.
- Analyze operational costs and identify opportunities for savings and efficiency.
- 6. Sustainability & Environmental Initiatives Drive initiatives to improve energy efficiency and reduce environmental impact (waste reduction, recycling, etc.).
- Track and report on sustainability metrics and align with corporate ESG goals.
- 7. Emergency Preparedness & Business Continuity Develop and maintain emergency response procedures and evacuation plans.
- Coordinate fire drills, first aid, and safety training for office staff.
- Act as the primary contact during emergencies or critical building issues.
- Qualifications & Experience Bachelor's degree in Facilities Management, Engineering, Business Administration, or a related field.
- Strong knowledge of building systems, workplace safety, and maintenance best practices..
- Familiarity with local building codes and health & safety regulations.
- Professional certifications (e.g., IFMA CFM, BIFM, NEBOSH, or IOSH) are an advantage.
