Job Description – Factory HR Executive Position

Title: Factory HR Executive

Department: Human Resources (Factory Operations)

Location: Factory / Plant Location

Reporting To: Factory Head / Operations Manager Job Purpose

The Factory HR Executive is responsible for managing factory manpower, attendance, labour compliance, payroll coordination, discipline, and worker welfare, ensuring smooth production operations and statutory compliance.

Key Responsibilities:

1. Manpower & Attendance Management

Maintain daily attendance (biometric / muster roll)

Manage shift allocation, weekly offs, and overtime

Control absenteeism and arrange replacements

Maintain complete employee & contract labour records


2. Recruitment & Onboarding (Factory Staff)

Recruit factory-level manpower:

Fabricators

Machine operators

Helpers

Loaders / installers

Handle joining formalities:

Aadhaar, bank details, ID proofs

PF & ESI enrollment

Conduct factory induction:

Safety rules

Discipline & reporting structure


3. Labour Law & Statutory Compliance

Ensure compliance with:

PF & ESI

Minimum Wages Act

Factory Act

Contract Labour Act

Maintain statutory registers

Handle labour inspections & audits

Coordinate with labour contractors


4. Payroll & Wage Coordination

Prepare:

Monthly attendance sheets

Overtime calculations

Wage summaries

Coordinate with Accounts for:

Salary processing

Contractor bills

Monitor labour cost vs productivity


5. Discipline & Employee Relations

Enforce factory discipline & punctuality

Handle worker grievances & conflicts

Issue warnings / notices when required

Support supervisors in manpower discipline


6. Safety & Welfare

Ensure usage of safety equipment

Maintain accident & incident records

Coordinate safety training & briefings

Handle medical emergencies

Ensure basic worker welfare facilities


7. Coordination & Reporting

Daily coordination with:

Production

Operations

Stores & Logistics

Prepare and submit:

Daily attendance report

Monthly HR & compliance reports

Labour productivity data

Key Performance Indicators (KPIs)

Attendance percentage (>95%)

Labour cost control

Overtime optimization

Compliance audit score

Attrition rate

Safety incident reduction

Skills & Competencies

Strong knowledge of factory HR operations

Good understanding of Indian labour laws

Ability to handle blue-collar workforce

Discipline enforcement & conflict handling

Documentation & reporting skills

Coordination with multiple departments

Preferred Experience

2–5 years experience in Factory / Industrial HR

Experience in manufacturing or fabrication units preferred

Working Conditions

Factory-based role

May require extended hours during production peaks

Hands-on involvement with shop-floor workforce
