Job Description: Manager – Occupancy Planning

Position Overview

The Manager – Occupancy Planning leads the strategic development and execution of space planning and utilization strategies across the organization. This role manages occupancy data, supports long-term real estate planning, drives optimization of workplace assets, and partners closely with senior leadership to align space supply with business demand. The manager supervises planners/analysts and ensures the delivery of accurate insights, efficient seat allocation, and smooth workplace transitions.

Key Responsibilities

1. Strategic Space & Occupancy Planning

  • Develop and maintain long‑term occupancy strategies based on business growth, hiring plans, hybrid work models, and portfolio objectives.

  • Lead the annual and quarterly space planning cycle for business units.

  • Recommend future space scenarios, consolidations, and restacks to improve space efficiency.

2. Stakeholder Leadership

  • Act as the primary point of contact for business leaders regarding space planning issues.

  • Facilitate strategic discussions with HR, Real Estate, Facilities, IT, and leadership teams.

  • Translate business forecasts into actionable space plans.

3. Data Governance & Analytics

  • Oversee the integrity of occupancy data across IWMS/CAFM systems (e.g., Serraview, Tririga, Archibus).

  • Deliver monthly occupancy dashboards, utilization insights, capacity forecasts, and scenario models.

  • Identify inefficiencies, risks, and opportunities using data‑driven analyses.

4. Move & Change Management Oversight

  • Lead large-scale moves, restacks, and reconfiguration projects end‑to‑end.

  • Build communication plans, timelines, and change management approaches for workplace transitions.

  • Ensure minimal disruption to business operations.

5. Workplace Strategy Execution

  • Implement workplace standards, space policies, and hybrid occupancy models.

  • Drive seat governance, desk sharing models, and activity-based workspace initiatives.

  • Monitor workplace performance and recommend experiential improvements.

6. Team & Vendor Management

  • Manage and mentor occupancy planners/analysts.

  • Coordinate with external space planners, designers, or CAFM vendors as needed.

  • Oversee workload distribution and project delivery timelines.

Qualifications & Skills

Required

  • Bachelor’s degree in architecture, Interior Design, Facilities Management, Real Estate, Business Administration, or related field.

  • 6–10 years of experience in occupancy planning, workplace strategy, or space management.

  • Strong proficiency with IWMS/CAFM tools and AutoCAD.

  • Expertise in interpreting utilization data, forecasting models, and creating scenarios.

  • Exceptional stakeholder management and communication skills.

  • Ability to lead large projects independently.

Preferred

  • Experience in corporate real estate within technology, BFSI, or global enterprise environments.

  • Knowledge of hybrid workplace strategies and modern workplace design.

  • Certification in PMP or CoreNet (SLCR/MCR).

  • Experience with visualization tools (Power BI, Tableau).
