Job Description
The role combines managing calendars and communication with handling confidential documents and routine office tasks.
Job Title: Personal Secretary.
Job Summary:
Provide comprehensive administrative, secretarial, and personal support to a senior executive/individual, including schedule management, correspondence, documentation, and coordination of meetings and travel while maintaining strict confidentiality.
Key responsibilities
Manage and organize the executive’s calendar, appointments, and reminders, avoiding conflicts and ensuring time is used efficiently.Coordinate and schedule meetings, prepare agendas, arrange venues or online links, and ensure required documents are ready.Handle incoming and outgoing calls, emails, and other correspondence, including screening, prioritizing, and replying where appropriate.Draft, type, format, and edit letters, reports, presentations, and minutes of meetings with high accuracy.Organize and maintain files (physical and digital), records, and contact lists in a systematic, easily retrievable manner.
Arrange travel plans, itineraries, tickets, accommodation, and related logistics for business or personal trips.Maintain confidentiality of sensitive information and documents at all times.
Liaise with internal staff, clients, vendors, and other stakeholders on behalf of the executive to ensure smooth communication and follow-ups.Monitor and order office supplies and manage basic administrative support such as photocopying, scanning, and mail handling.Perform personal or miscellaneous tasks for the executive (errands, basic household/financial coordination) as required.
Design Medical Camps Schedule , Conduct Medical Camps and accompany the Doctor for medical camps , Manager Inventory at The Clinic and Administration of the Clinic , Travelling is required as necessary.
