Job Description
- 1. Purchase PlanningIdentify purchase requirements from different departments
- Prepare purchase plan based on stock and requirement
- Raise Purchase Requisition (PR)
- 2. Vendor ManagementIdentify and develop new vendors
- Maintain vendor database
- Request quotations from vendors
- Compare prices and finalize vendor
- Maintain good relationship with suppliers
- 3. Purchase Order ProcessPrepare Purchase Orders (PO)
- Send PO to vendors
- Follow up for order confirmation
- Track delivery schedule
- Ensure material delivered on time
- 4. Price NegotiationNegotiate price, payment terms, and delivery terms
- Try to reduce purchase cost
- Finalize best quotation
- 5. Material Receipt CoordinationCoordinate with store/warehouse for material receipt
- Check material as per PO
- Handle shortage / damage issues
- Coordinate for replacement if needed
- 6. Invoice & Payment CoordinationVerify vendor invoice with PO and GRN
- Submit invoice to accounts for payment
- Follow up for vendor payments
- Maintain purchase records
- 7. Documentation & ReportsMaintain PO records
- Maintain vendor quotation files
- Prepare purchase reports
- Maintain stock and reorder levels
