Job Description
1. Job Summary
The Store Incharge is responsible for managing and controlling all materials, consumables, tools, equipment, and vendor stock stored in the central warehouse of the gated community. This role ensures proper receiving, issuing, tracking, documentation, and safe storage of all items supplied by multiple vendors for housekeeping, maintenance, security, and facility operations.
2. Key Roles & Responsibilities
A. Stock Receiving & Verification
- Receive stock from all vendors and verify quantity, quality, and specifications.
- Cross-check delivery challans, purchase orders, and invoices.
- Reject or escalate any damaged, incorrect, or incomplete materials.
- Ensure proper GRN (Goods Receipt Note) entry.
B. Warehouse Management
- Maintain the central warehouse in an organized, clean, and safe condition.
- Implement proper shelving, labelling, and binning systems.
- Monitor material movement and ensure zero pilferage or unauthorized access.
- Maintain optimum stock levels and reorder based on consumption.
C. Stock Issuance & Distribution
- Issue materials to housekeeping, plumbers, electricians, security, and maintenance teams as per approved requisition.
- Track daily, weekly, and monthly consumption.
- Maintain issue register or ERP entry for every transaction.
D. Documentation & Reporting
- Maintain stock registers, GRN, issue slips, vendor registers, and bin cards.
- Prepare daily, weekly, and monthly stock reports.
- Coordinate with finance and procurement teams for stock valuation and audit.
- Support internal and external audits with accurate data.
E. Vendor Coordination
- Coordinate with vendors for timely supply and order updates.
- Manage pending deliveries, shortages, and returns.
- Ensure vendor delivery compliance as per contract.
F. Safety & Compliance
- Ensure proper storage of chemicals, electrical material, tools, and consumables.
- Follow fire safety, PPE, and warehouse safety protocols.
- Report any damage, leakage, or risk immediately.
G. Inventory Control & System Usage
- Use Excel/ERP/Inventory software for data entry and tracking.
- Conduct physical stock count monthly or as needed.
- Identify discrepancies and report to management.
3. Skills & Competencies Required
- Strong knowledge of warehouse and inventory operations.
- Ability to handle vendor coordination and documentation.
- Good communication and reporting skills.
- Knowledge of Excel, stock management systems, and basic ERP tools.
- Physically fit and alert for warehouse duties.
- Attention to detail and strong organizational skills.
4. Qualifications & Experience
- Minimum 1–3 years of experience as Storekeeper / Warehouse Incharge.
- Experience in facility management, gated communities, construction, or large apartments preferred.
- Ability to manage multi-vendor stock and high-volume materials.
5. Additional Responsibilities (Optional Based on Site Need)
- Support asset tagging and tracking.
- Assist in AMC materials monitoring.
- Support emergency material supply.
- Maintain tools inventory and issue register.
