Job Description
Job Title: Technical Executive Assistant – Manufacturing & Design
Location: Prashanth Nagar, Hyderabad
Department: Engineering & Manufacturing
Reporting To: Head – Manufacturing & Design
Role Overview:
We are seeking a highly organized and technically inclined Executive Assistant to support the Head of Manufacturing & Design in the execution of custom-built filament winding machines and automation systems.
This is not a conventional administrative role. The position requires strong coordination skills across engineering, production, procurement, and customer communication to ensure projects are executed on time and with high technical accuracy.
The ideal candidate will have experience in capital equipment manufacturing, automation systems, or industrial machinery environments.
Key Responsibilities
1. Engineering & Design Coordination
• Track status of ongoing machine design projects
• Coordinate with design engineers for drawing releases, revisions, and BOM updates
• Maintain documentation control and revision records
• Organize and document design review meetings
• Track engineering change requests (ECR/ECN)
• Maintain centralized repository of technical documents (GA drawings, electrical schematics, manuals)
2. Production & Manufacturing Support
• Monitor production schedules and project milestones
• Coordinate between design team and shop floor for smooth handover
• Track fabrication progress and assembly status
• Identify bottlenecks and escalate issues proactively
• Maintain weekly project progress dashboard
3. Vendor & Procurement Coordination
• Follow up with vendors for mechanical, electrical, and automation components
• Track material delivery schedules vs production plan
• Assist in quotation comparison and vendor evaluation
• Maintain approved vendor database
• Ensure accurate documentation of purchase orders and technical specifications
4. Project Tracking & Reporting
• Maintain master project tracker for each machine:
• Design freeze
• Fabrication start
• Assembly start
• FAT schedule
• Dispatch date
• Prepare weekly progress reports for management
• Assist in cost tracking and variance analysis
• Coordinate FAT and client visits
5. Customer & Service Support
• Draft professional technical communication emails
• Compile service reports and documentation
• Coordinate installation and commissioning schedules
• Track warranty issues and service feedback
• Maintain CRM and customer documentation
6. Strategic & Administrative Support
• Calendar and meeting management for the department head
• Prepare minutes of meetings (MOM)
• Assist in proposal preparation and costing sheets
• Support presentation preparation for clients and internal reviews
• Maintain structured digital filing system
Qualifications & Experience
Education:
• Diploma / BE / BTech in Mechanical Engineering, Production Engineering, or related field preferred
Experience:
• 3–8 years in:
• Capital equipment manufacturing
• Industrial machinery
• Automation systems
• Heavy fabrication environments
Required Skills
• Strong proficiency in MS Excel (mandatory)
• Ability to read mechanical drawings and BOMs
• Basic understanding of:
• Motors and drives
• PLC-based systems
• Fabrication and machining processes
• Excellent follow-up and coordination skills
• High attention to detail
• Strong written and verbal communication skills
• Structured and process-oriented mindset
