Job Description

The Tender Executive is responsible for coordinating, preparing, and submitting technical and financial bids for government sector tenders. The role involves ensuring compliance with tender requirements, accurate documentation, and timely submission.

**Key Responsibilities:**

 

1. **Tender Identification & Analysis:**

 

  * Search and identify suitable tenders through government and private portals (e.g., GEM, eProcurement, etc.).

  * Study tender documents (technical & financial) and understand eligibility criteria, scope of work, and submission requirements.

 

2. **Tender Preparation:**

 

  * Prepare pre-qualification documents, technical bid, and financial bid as per tender format.

  * Coordinate with technical, finance, and project teams to gather required data and documents.

  * Ensure all required forms (e.g., Form-6, Annexures, Declarations) are properly filled, signed, and stamped.

 

3. **Documentation & Compliance:**

 

  * Verify that all mandatory certificates (GST, PAN, CA certificates, balance sheets, work experience certificates, etc.) are updated and attached.

  * Maintain accurate records of submitted tenders and correspondence.

  * Handle queries or clarifications raised by the client or tender authority.

 

4. **Online Submission:**

 

  * Upload tender documents on relevant e-procurement portals.

  * Manage EMD/BG (Earnest Money Deposit / Bank Guarantee) submissions.

  * Ensure timely submission before deadlines.

 

5. **Post-Tender Activities:**

 

  * Follow up on tender status and participate in technical or financial bid openings.

  * Support negotiation and contract award processes.

  * Prepare reports on bid performance and maintain tender database.

 


**Required Skills and Qualifications:**

 

* Bachelor’s degree (Commerce / Engineering / Management preferred).

* Minimum 1–3 years of experience in tendering or contracts.

* Strong knowledge of e-tendering portals and government procurement procedures.

* Good communication and documentation skills.

* Proficiency in MS Office (Word, Excel, PowerPoint) and PDF tools.

* Attention to detail and ability to meet strict deadlines.
