Job Description

Job Summary:

The HR Officer is responsible for ensuring smooth human resource operations, maintaining compliance, and building a positive organizational culture. This role involves managing recruitment, employee onboarding, performance tracking, payroll coordination, policy implementation, and employee engagement. The person must maintain high confidentiality, integrity, and professionalism at all times.

Key Responsibilities:

1. Recruitment & Onboarding

•Manage end-to-end hiring process including job posting, screening, interviews, and selection.

•Coordinate with team leaders to understand manpower requirements.

•Conduct orientation, joining formalities, onboarding kits, and induction training.

•Maintain recruitment trackers and candidate databases.


2. Employee Records & Documentation

•Maintain and update employee personal files, HRMS data, and attendance records.

•Prepare offer letters, appointment letters, confirmation letters, and other HR-related documents.

•Ensure proper filing (digital + physical) following confidentiality standards.


3. Attendance, Leave, and Payroll Support

•Monitor attendance system, leaves, OT, and shift schedules.

•Provide accurate monthly data to accounts/payroll teams.

•Handle employee queries related to salary, deductions, PF/ESI, etc.


4. Policy Implementation & Compliance

•Ensure company policies are followed in all departments.

•Assist in updating HR policies and employee handbooks.

•Support in statutory compliance such as PF, ESI, factory act, labor law requirements.


5. Employee Engagement & Workplace Culture

•Plan and execute employee engagement activities, celebrations, and internal events.

•Conduct feedback surveys, suggestion programs, and culture-building initiatives.

•Promote teamwork, discipline, and professional behavior.


6. Grievance Handling & Disciplinary Process

•Listen to and resolve employee concerns with sensitivity and fairness.

•Maintain discipline by following proper HR procedures.

•Document warnings, memos, and disciplinary actions.


7. Performance Management

•Support performance appraisal cycles.

•Coordinate goal-setting, review meetings, and KPI tracking.

•Maintain performance improvement plans (PIP) when needed.


8. HR Reporting & Analytics

•Prepare HR dashboards and monthly MIS reports.

•Track employee turnover, attrition, new hires, and manpower status.

•Provide management with insights for decision-making.


Required Skills

Qualifications

•Bachelor’s degree (preferably in HR, Business Administration, Psychology, or related fields)

•3-5 years of experience in HR operations

•Additional HR certifications are an added advantage
