Executive

The Maintenance Department Office Executive will be responsible for handling all office-related activities of the maintenance department, including documentation, reporting, coordination, MIS preparation, and billing support. The role requires knowledge of MS Word and MS Excel, along with effective communication and organizational skills.

Key Responsibilities

1. Prepare and maintain daily site complaint reports and work progress reports.
2. Coordinate with site supervisors and vendors for daily maintenance updates.
3. Prepare monthly site worker attendance and work reports.
4. Create and update MIS reports related to maintenance activities.
5. Handle billing processes, including bill checking, verification, and follow-ups.
6. Perform bill supporting work, such as attaching work completion reports, approvals, and vendor documents.
7. Manage scanning, filing, and documentation of maintenance records.
8. Maintain proper records of complaints, work orders, vendor bills, and payments.
9. Assist in preparing letters, emails, and official correspondence.
10. Ensure timely submission of reports to management and concerned departments.
11. Perform other office-related and administrative tasks as assigned.
