Back Office Executive

Job Summary

The Back Office Executive will support the fabric sales team by handling documentation, order processing, billing coordination, inventory records, and communication with customers, suppliers, and transporters. The role ensures smooth daily operations of the fabric sales office.

Key Responsibilities

Sales & Order Processing

• Prepare and process sales orders, challans, invoices, and quotations
• Coordinate with the sales team for order confirmation and dispatch details
• Maintain records of party-wise orders, dispatches, and pending deliveries

Billing & Accounts Support

• Assist in billing, GST invoices, credit notes, and debit notes
• Maintain party ledgers, payment follow-ups, and outstanding reports
• Coordinate with accounts team for reconciliation and payment entries

Customer & Vendor Coordination

• Communicate with dealers, agents, and customers for order status
• Coordinate with transporters and Godowns for dispatch and delivery
• Handle routine customer queries related to orders, billing, and dispatch

Documentation & Office Work

• Maintain proper filing of bills, transport receipts, order books, and reports
• Prepare daily, weekly, and monthly sales and stock reports
• Handle emails, WhatsApp communication, and basic correspondence
