Role Overview:
As a Front Office Executive, you will be the first point of contact for our company. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.
Role Responsibilities:
Reception Duties:
Greet visitors warmly and ensure they are comfortable.
Answer phone calls, take messages, and redirect calls to appropriate personnel.
Handle inquiries and provide accurate information to clients, customers, and visitors.
Manage the reception area, ensuring cleanliness.
Administrative Support:
Assist in clerical tasks such as typing, filing, photocopying, scanning, and faxing documents.
Maintain office supplies inventory by checking stock and anticipating needs.
Coordinate and schedule appointments, meetings, and conferences.
Handle incoming and outgoing mail and packages.
Assist in the preparation of reports, presentations, and correspondence.
Customer Service:
Provide exceptional customer service to all guests and clients.
Address customer complaints and escalate issues to the appropriate personnel if needed.
Ensure customer inquiries and concerns are resolved promptly and effectively.
Data Management:
Maintain and update contact lists and employee directories.
Ensure accuracy and confidentiality of all information.
Technology Skills:
Proficient in using office equipment such as printers, scanners, and fax machines.
Familiarity with basic computer software (e.g., Microsoft Office).
Qualifications:
High school diploma or equivalent; additional certification in Office Management is a plus.
Proven experience as a front office executive or similar administrative role.
Excellent communication and interpersonal skills.
Strong organisational and multitasking abilities.
Professional appearance and demeanor.
Ability to work well under pressure in a fast-paced environment.
Attention to detail and problem-solving skills.
Familiarity with administrative and clerical procedures.
