JOB DESCRIPTION (JD)-HR

Position: Human Resources Manager – HR Operations

Organisation: Kshetry & Co (Law Firm)

Location: Salt Lake Office, Kolkata

Employment Type: Full-Time

Working Hours: Monday to Saturday, 9:00 AM – 6:00 PM


1. About the Organisation

Kshetry & Co Legal Advisors is a professional law firm engaged in litigation, corporate advisory, contract drafting, and legal consulting services. The firm operates through multiple verticals and requires structured HR management to ensure operational efficiency, compliance, and workforce discipline.

2. Key Responsibilities

2.1 Recruitment & Talent Acquisition

• Manage end-to-end hiring processes including sourcing, screening, interviews, and onboarding.

• Coordinate with departments for manpower planning.

• Draft job descriptions and implement hiring strategies.

2.2 Employee Lifecycle Management

• Oversee onboarding, documentation, and induction processes.

• Maintain employee records (digital and physical).

• Handle exit formalities and full & final settlements.

2.3 HR Operations & Administration

• Manage attendance, leave tracking, and HR databases.

• Ensure implementation of HR policies and SOPs.

• Maintain internal discipline and reporting structure.

2.4 Payroll & Compensation

• Supervise payroll processing and salary disbursement.

• Manage benefits, reimbursements, and incentives.

2.5 Performance Management

• Implement KPI-based evaluation systems.

• Conduct appraisals and monitor productivity.

2.6 Employee Relations

• Address grievances and disciplinary issues.

• Maintain a professional workplace environment.

2.7 Compliance & Legal HR

• Ensure compliance with labour laws and regulations.

• Draft HR policies, contracts, and internal guidelines.

2.8 Training & Development

• Organise training sessions and skill development programs.

2.9 Mandatory WhatsApp Reporting (Strict Compliance Requirement)

• The HR Manager shall be required to submit daily reports via official WhatsApp communication to the Management.

• Reporting shall be mandatory and time-bound, and must include:

• Attendance status of all employees

• Daily recruitment updates (calls, interviews, selections)

• Employee issues, grievances, or disciplinary matters

• Task completion status and pending HR activities

• Any urgent matters requiring management attention

• In addition to daily reporting, the HR Manager shall also provide:

• Weekly summary reports

• Monthly performance and HR analytics reports

• Failure to report on WhatsApp, delayed reporting, or incomplete reporting shall be treated as serious negligence of duty and may attract disciplinary action.

• All communications must be clear, structured, and professional, forming part of official record-keeping.

3. Required Skills and Qualifications

• Graduate/Postgraduate in HR, MBA (HR preferred).

• 3–6 years of HR operations experience.

• Strong knowledge of recruitment, payroll, and compliance.

• Excellent communication and organisational skills.

• Proficiency in MS Office and HR software.

• High level of confidentiality and professionalism.

4. Attendance and Discipline Requirements

• Strict adherence to working hours (9:00 AM – 6:00 PM, Monday to Saturday).

• No unauthorised leave permitted, especially during probation.

• Prior approval required for all leaves.

• Non-compliance or misconduct may lead to disciplinary action.

5. Reporting Structure

The HR Manager shall report directly to:

Management / Senior Partner / Administrative Head

6. Confidentiality Obligation

Strict confidentiality must be maintained regarding employee data, internal policies, and firm operations. Any breach will result in strict legal and disciplinary consequences.

7. Performance Evaluation

Evaluation shall be based on:

• Recruitment efficiency and retention rate

• HR operational accuracy

• Timely WhatsApp reporting compliance

• Employee management and discipline

• Legal and policy compliance

• Contribution to organisational growth
