Job Description

Office Executive is responsible for ensuring smooth day-to-day operations within the office. This role involves administrative support, communication management, coordination among departments, and maintaining organized and efficient office procedures. The Office Executive acts as a central point of contact for staff, clients, and vendors.

  • Key ResponsibilitiesAdministrative & Clerical TasksManage and organize office files, documents, and records.
  • Prepare reports, presentations, and correspondence.
  • Maintain office calendars and schedule meetings, appointments, and events.
  • Handle incoming and outgoing emails, calls, and messages.
  • Office ManagementOversee office supplies, inventory, and procurement.
  • Ensure office equipment (printers, computers, etc.) is functioning properly; coordinate repairs when needed.
  • Maintain a clean, organized, and professional work environment.
  • Coordination & CommunicationServe as a liaison between management, staff, and external stakeholders.
  • Coordinate travel arrangements, accommodations, and itineraries for staff or executives.
  • Assist in onboarding new employees by preparing necessary materials and documentation.
  • Finance & Record KeepingAssist with basic bookkeeping tasks (invoices, expense tracking, petty cash, etc.).
  • Support budgeting, financial reporting, and maintaining financial records.
  • Other TasksSupport HR functions such as attendance tracking and employee records.
  • Contribute to company projects, events, and administrative improvements.
  • Perform additional duties as assigned by management.
  • Required Skills & QualificationsBachelor’s degree in Business Administration, Management, or related field (preferred).
  • Proven experience in administrative or office management roles.
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and office management software.
  • Ability to work independently and handle confidential information.
