Job Description

1. Executive Support:

  • Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel itineraries.
  • Handle confidential documents and information with discretion.
  • Draft, review, and manage correspondence, reports, and presentations.
  • Coordinate and prepare for meetings – agenda creation, minutes taking, and follow-up tracking.

2. Administrative Tasks:

  • Maintain files, databases, and office systems (both physical and digital).
  • Prepare expense reports, invoices, and handle petty cash management.
  • Liaise with internal teams, clients, and external stakeholders on behalf of the executive.

3. Communication & Coordination:

  • Act as the point of contact between the executive and internal/external clients.
  • Screen and direct phone calls/emails and distribute correspondence efficiently.
  • Coordinate with vendors, clients, bankers, and service providers.

4. Office Management (if required):

  • Oversee procurement of office supplies and stationery.
  • Support HR and Admin activities such as onboarding, documentation, and organizing team events.
