Job Description
- Job Role: GEM Portal Executive/Tendor Executive
- Department: Operations / Government Sales
- Location - Kolkata
- Work from office/Onsite

Role Overview
The GEM Portal Executive will manage the company’s presence on the Government e-Marketplace (GEM) platform. This role involves product listing, bid participation, order processing, compliance management, and coordination with internal teams and government buyers to ensure smooth execution of orders.
Key Responsibilities
GEM Portal Operations
- Create, update, and maintain product listings, categories, pricing, and specifications on GEM.
- Ensure accuracy in cataloguing, product descriptions, and documentation.
- Monitor tenders and opportunities relevant to company products/services.
Bid & Tender Management
- Prepare eligibility documents and submit bids within timelines.
- Coordinate with vendors, finance, and management for pricing and approvals.
- Track ongoing bids and respond to buyer queries or clarifications.
Order & Compliance Management
- Handle order acceptance, invoice generation, shipment creation, and tracking.
- Manage post-order compliances including warranty, service records, performance certificates, etc.
- Maintain digital records of all orders, bids, invoices, and contracts.
Coordination & Reporting
- Follow up with buyers, logistics, and internal teams to ensure timely delivery.
- Resolve issues related to payments, penalties, rejections, or returns on GEM.
- Prepare weekly/monthly MIS reports on bids, orders, conversions, and revenue.
Requirements
Education
- Additional certification in e-procurement / GEM will be an advantage.
Experience
- Minimum 1–3 years of hands-on experience in GEM Portal operations.
Skills
- Strong understanding of government procurement rules & procedures.
- Good knowledge of documentation, taxation basics (GST), and invoicing.
- Proficiency in MS Excel, Word, and internet applications.
- Attention to detail, accuracy, and follow-up skills.
- Ability to work with deadlines and multiple stakeholders.
