Tender Executive

Job Summary :

The Tender Executive is responsible for identifying, preparing, submitting, and tracking tenders, bids, and proposals for government and private sector projects. The role requires coordination with internal teams to ensure accurate documentation, compliance with tender requirements, and timely submission.

Key Responsibilities :

• Identify and track new tender opportunities from portals (GeM, CPPP, state portals, private tenders, etc.)
• Study tender documents and assess eligibility, scope, and feasibility
• Prepare and compile tender documentation including:
• Technical bids
• Commercial/financial bids
• Pre-qualification documents
• Coordinate with internal departments (sales, finance, legal, operations) for inputs
• Ensure compliance with tender terms, conditions, and deadlines
• Upload tenders on online portals and submit offline tenders when required
• Manage EMD, tender fees, and bid security documentation
• Attend pre-bid meetings and prepare clarifications
• Maintain records of submitted tenders and track results
• Handle post-tender activities such as negotiations and contract finalization
• Ensure confidentiality and accuracy of tender data

Required Skills & Competencies :

• Strong understanding of tendering and bidding processes
• Knowledge of government procurement systems and portals
• Good documentation and coordination skills
• Attention to detail and ability to meet strict deadlines
• Proficiency in MS Office (Excel, Word, PowerPoint)
• Familiarity with online tender portals and digital signatures
• Basic financial and commercial understanding

Qualifications & Experiences :

• 12th Pass in any stream
• 1–5 years of experience in tendering / bidding roles
• Experience in government or PSU tenders preferred
• Key Performance Indicators (KPIs)Number of tenders submitted
• Tender success / win ratio
• Compliance accuracy (zero rejections due to documentation errors)
• Timely submission rate
• Quality and completeness of tender documents

Work Environment :

• Office-based with occasional travel for pre-bid meetings
• Fast-paced, deadline-driven role
