Job Description

Svastica Earth is looking for a professional and welcoming Receptionist to be the face of our organization. You will manage front‑desk activities, greet visitors, handle calls and emails, and ensure that all administrative tasks are completed smoothly and efficiently. The ideal candidate will have excellent communication skills, a positive demeanor, and the ability to multitask in a dynamic environment.

  • Key ResponsibilitiesVisitor & Client Greeting: Warmly welcome guests, confirm appointments, and direct visitors to the appropriate team member or department.
  • Telephone & Email Management:

  • Answer, screen, and forward incoming calls
  • Take clear, concise messages and distribute them promptly
  • Respond to general inquiries via email in a professional manner
  • Front‑Desk Administration:

  • Keep the reception area tidy and well‑organized
  • Handle incoming/outgoing mail and courier shipments
  • Schedule and coordinate meeting rooms and conference facilities
  • Perform light data entry, photocopying, and filing
  • Office Support:

  • Maintain office supplies inventory and place orders as needed
  • Coordinate with building management and security for facility needs
  • Assist other departments with ad‑hoc administrative tasks
  • Qualifications & SkillsEducation: High school diploma or equivalent; certificate in office administration or related field is a plus.
  • Experience: 1–2 years in a receptionist, customer service, or administrative support role preferred.
  • Communication:

  • Excellent spoken and written English
  • Professional phone etiquette and interpersonal skills
  • Technical Proficiency:

  • Comfortable with Microsoft Office (Word, Excel, Outlook)
  • Experience with multi‑line phone systems and standard office equipment
  • Personal Attributes:

  • Friendly, approachable, and customer‑focused
  • Strong organizational skills and attention to detail
  • Ability to prioritize tasks and handle multiple responsibilities
