Job Summary:

Aliganj Vihaan Indane Gas Service is seeking a highly organized and detail-oriented Back Office Manager to oversee and optimize our daily administrative and operational functions. The Back Office Manager will play a crucial role in ensuring the smooth and efficient running of our business by managing essential support services, handling documentation, coordinating with internal teams, and maintaining accurate records. This position requires strong leadership skills, excellent problem-solving abilities, and a thorough understanding of back-office procedures.

Responsibilities:

  • Administrative Management: Oversee all administrative tasks, including managing office supplies, maintaining filing systems (both physical and digital), handling correspondence, and ensuring the office environment is well-maintained.
  • Documentation and Record Keeping: Ensure accurate and up-to-date records of sales, inventory, customer information, financial transactions, and other relevant data. Implement and maintain efficient data management systems.
  • Inventory Management: Monitor and track gas cylinder inventory levels, coordinate with the operations team for stock replenishment, and ensure accurate inventory records to prevent shortages or overstocking.
  • Financial Administration: Assist with basic bookkeeping tasks, processing invoices, managing payments, and preparing reports as needed. Liaise with the accounting department or external accounting services.
  • Customer Service Support: Handle customer inquiries and complaints that are escalated to the back office, ensuring timely and satisfactory resolution. Maintain a professional and helpful demeanor in all communications.
  • Coordination and Communication: Act as a central point of contact between different departments (e.g., sales, delivery, accounts), ensuring clear and effective communication. Facilitate information flow and resolve interdepartmental issues.
  • Regulatory Compliance: Ensure that all back-office operations adhere to relevant industry regulations, safety standards, and company policies. Assist with the preparation of compliance-related documentation.
  • Process Improvement: Identify areas for process improvement within the back office to enhance efficiency, accuracy, and productivity. Implement and monitor new procedures as needed.
  • Report Generation: Prepare regular and ad-hoc reports on key back-office metrics, such as inventory levels, sales data, and administrative efficiency.
  • Qualifications: 
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and experience with data management software or ERP systems.
  • Strong communication and interpersonal skills, with the ability to interact professionally with colleagues, customers, and external stakeholders.
  • Problem-solving skills and the ability to handle challenges in a calm and efficient manner.
  • Knowledge of basic accounting principles and financial record-keeping.
  • Familiarity with relevant industry regulations and compliance requirements (preferred).
  • Ability to work independently and as part of a team.
  • Strong ethical standards and a commitment to maintaining confidentiality.
