Personal Secretary to the CEO

Location: Mangalore / Bangalore (Hybrid | Travel-Intensive | Pan-India & Occasional International Travel)**



Position Overview

We are seeking a highly responsible, ambitious, and execution-focused Executive Associate to work directly with the CEO. This role involves close coordination, business travel, strategic meeting support, and high-level operational follow-ups.


The position requires maturity, discretion, flexibility, and the ability to operate in dynamic and high-pressure environments. This is not a routine desk role. The candidate will function as a key support resource to ensure seamless execution of business priorities.



Key Responsibilities


1. CEO Support & Coordination

  • Provide day-to-day executive support to the CEO
  • Manage calendar, scheduling, and meeting confirmations
  • Prepare briefing notes before meetings
  • Organize documents, presentations, and reference materials



2. Travel & Meeting Management

  • Travel with the CEO across India for meetings, events, exhibitions, and seminars
  • Occasionally travel internationally for official engagements
  • Stay overnight during official travel as per business schedules (accommodation arranged by the company)
  • Coordinate logistics including flights, hotels, local transport, and meeting schedules



3. Meeting Documentation & Follow-Ups

  • Attend meetings and record key discussion points
  • Convert discussions into structured action plans
  • Track deadlines and ensure timely completion of commitments
  • Send follow-up communications to clients and partners



4. Communication & Documentation

  • Draft professional emails, proposals, summaries, and internal reports
  • Maintain organized digital records and documentation systems
  • Ensure confidentiality of all business discussions and documents



5. Operational Execution

  • Coordinate with clients, vendors, and internal stakeholders
  • Monitor progress on ongoing tasks and projects
  • Anticipate requirements and proactively resolve minor operational issues
  • Reduce the CEO’s operational workload through efficient execution



Work Structure

  • Hybrid model (work from home when not traveling)
  • Mandatory readiness for Pan-India travel with short notice
  • Occasional international travel as required
  • Flexible working hours aligned with business priorities
  • Performance-based accountability




Candidate Profile


Essential Qualities

  • Strong verbal and written communication skills (English & Kannada required; Hindi preferred)
  • Knowledge of multiple languages is an added advantage
  • Highly organized and detail-oriented
  • Ambitious and career-focused
  • Comfortable in professional and high-level business environments
  • Emotionally stable and capable of handling pressure
  • High level of confidentiality and integrity
  • Willingness to travel frequently and adapt to dynamic schedules



Preferred Qualifications

  • Prior experience as Executive Assistant, Executive Coordinator, or Business Support professional
  • Experience handling travel arrangements and meeting coordination
  • Basic understanding of business communication and documentation

Compensation & Benefits
