Dispatch Executive

Job Summary

The Dispatch Executive is responsible for coordinating, scheduling, and monitoring the dispatch of goods, materials, or service personnel. This role ensures timely deliveries, accuracy in documentation, real-time communication with drivers/customers, and smooth daily operations.

Key Responsibilities

1. Dispatch & Scheduling

• Plan, schedule, and assign daily dispatches based on delivery timelines and priorities.
• Coordinate with drivers, warehouse teams, and customer support to ensure timely movement of goods.
• Update dispatch boards, route plans, and delivery schedules.

2. Communication & Coordination

Serve as the main point of contact for drivers and field personnel during operations.

• Communicate delivery instructions, route changes, and customer requirements clearly.
• Respond promptly to operational issues, delays, or emergencies.

3. Tracking & Monitoring

Track vehicle movement using GPS or dispatch software.

• Monitor delivery progress and address any deviations from the plan.
• Maintain accurate logs of dispatch activities.

4. Documentation & Reporting

Prepare and verify dispatch documents (LR, invoices, gate pass, delivery notes).

• Ensure shipment details are recorded accurately in the system.
• Generate daily/weekly dispatch reports for management.

5. Compliance & Safety

Ensure drivers follow safety standards and company policies.

• Verify vehicle readiness—fuel, maintenance, permits, and documentation.
