Job Summary:
We are seeking a disciplined and detail-oriented Administrative Assistant to support our daily business operations. This is an entry-level position designed for a professional individual looking to establish a career in a corporate environment.
The successful candidate will provide administrative support, ensuring that office workflows remain efficient and that all internal and external communications are handled with the utmost professionalism.
Core Responsibilities:
- Office Coordination: Act as the primary point of contact for the office, managing incoming calls, correspondence, and professional greetings for clients and executives.
- Document Management: Maintain, organize, and archive digital and physical records, ensuring data integrity and easy retrieval.
- Scheduling & Logistics: Coordinate departmental calendars, schedule meetings, and arrange travel or catering logistics as required.
- Operational Support: Monitor and replenish office inventory, manage vendor deliveries, and assist with basic bookkeeping or expense reporting.
- Executive Assistance: Provide ad-hoc support to senior management for presentations, reports, and specialized projects.
Candidate Qualifications
- Education: High School Diploma required; Bachelor’s Degree or Associate’s Degree preferred.
- Technical Proficiency: Strong command of the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) or Google Workspace.
- Communication Skills: Demonstrated ability to communicate clearly and professionally, both in writing and verbally.
- Organizational Skills: A proven ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously in a fast-paced setting.
- Discretion: Ability to handle sensitive company and client information with strict confidentiality.
Front Desk Management:
- Greet and welcome visitors with a warm and friendly demeanor.
- Answer and direct incoming calls to appropriate departments.
- Maintain a tidy and organized reception area.
Administrative Support:
- Manage office supplies inventory and place orders as necessary.
- Assist with scheduling meetings and appointments.
- Coordinate office maintenance and repairs.
Documentation and Filing:
- Handle incoming and outgoing mail, packages, and courier services.
- Maintain and update electronic and physical filing systems.
- Prepare and edit documents, reports, and presentations.
Customer Service:
- Provide accurate information to visitors and answer their inquiries.
- Address and resolve any visitor or employee concerns.
Coordination:
- Assist in planning and organizing company events and meetings.
- Liaise with vendors, service providers, and building management.
Other Duties:
- Perform other related duties as assigned by the management team.
