Job Description

Job Title: Zoho Accounting & Administrative Assistant

Job Summary: We are seeking a proactive and detail-oriented candidate to join our team as a Zoho Accounting & Administrative Assistant. The ideal candidate should have basic knowledge of accounting entries in Zoho software and be capable of managing various administrative functions. The role involves managing accounting entries, inventory, and vendor/client payments, as well as handling routine administrative tasks to ensure smooth office operations.

Key Responsibilities:

  • Accounting & Financial Entries:

  • Maintain accurate records of Sales and Purchase entries in Zoho software.
  • Make Delivery Challan entries both manually and in Zoho for accurate tracking.
  • Record payment receipt entries and bank reconciliation statements.
  • Keep track of payments in cash and petty cash management.
  • Perform vendor payment follow-ups and maintain detailed records of payments and bills.
  • Issue Purchase order with vendor
  • Record and track direct and indirect expenses.
  • Track daily expenses and assist in financial reporting.
  • Inventory Management:

  • Perform stock entries in Tally and manage the inventory records.
  • Coordinate with internal teams to ensure inventory levels are maintained and updated in Tally.
  • Vendor & Client Coordination:

  • Coordinate with vendors for payment and bill follow-ups.
  • Ensure timely payment follow-ups with clients.
  • Employee Management:

  • Maintain records of employee attendance and assist with payroll-related data.
  • Keep a detailed log of projects completed by workers.
  • Administrative Support:

  • Handle day-to-day administrative tasks, including travel bookings, courier arrangements, and office supply management.
  • Assist in organizing meetings, scheduling appointments, and maintaining calendars.
  • Provide general office support, including filing, data entry, and preparing reports and presentations.

Skills and Qualifications:

  • Basic understanding of accounting principles and proficiency in Zoho software (Zoho Books or similar applications).
  • Familiarity with Tally for inventory management.
  • Knowledge of bank reconciliation and general accounting practices.
  • Strong organizational skills and attention to detail.
  • Ability to manage petty cash and track financial transactions accurately.
  • Strong communication skills for interacting with vendors, clients, and internal teams.
  • Proficiency in Microsoft Office (Excel, Word, etc.).
  • Ability to handle multiple tasks and meet deadlines effectively.

Education and Experience:

  • A degree or diploma in Accounting, Finance, or Business Administration is preferred.
  • 2-3 years of experience in an accounting or administrative role.
  • Prior experience with Zoho Books is an advantage.
