Job Description

Job Overview: 

As an Administrative Assistant, you will play a key role in 

supporting the smooth and efficient operations of the 

educational institution. The ideal candidate will help create a 

positive and productive learning environment for students, 

faculty, and staff. 

Key Responsibilities: 

1. Office Management: 

Maintain a well-organized and efficient office environment. 

Manage office supplies, equipment, and facilities to ensure a 

productive workspace. 

Handle fee follow-ups and ensure accurate system entries. 

2. Student and Faculty Support: 

Assist students and faculty with administrative queries and 

support services. 

Coordinate lecture timetables, schedules, appointments, and 

communication between students, faculty, and administrative 

staff. 

Ensure timely muster entry for all faculty members. 

3. Data Management: 

Maintain accurate and updated records, including student 

databases, attendance logs, and other administrative documents. 

Generate reports and summaries for management as needed. 

4. Communication: 

Facilitate effective communication between students, parents, 

faculty, and administrative staff. 

Manage incoming calls, emails, and correspondence in a 

professional and timely manner. 

5. Event Coordination: 

Assist in planning and executing workshops, seminars, and 

meetings. 

Coordinate logistics, manage registrations, and provide on-site 

event support. 

Assist in conducting Parent-Teacher Meetings (PTMs). 

6. Financial Administration: 

Assist with basic financial tasks such as processing invoices, 

handling petty cash, and supporting budget tracking. 

Coordinate with the finance department to maintain accurate 

financial records. 

7. Technology Support: 

Provide basic technical support for office equipment and 

troubleshoot common issues. 

Collaborate with the IT department for advanced technical 

concerns. 

Qualifications and Skills: 

Bachelor’s degree in any stream. 

Proven experience as an Administrative Assistant or in a 

similar role. 

Proficiency in Microsoft Office and relevant software 

applications. 

Strong organizational and multitasking abilities. 

Excellent communication and interpersonal skills. 

Detail-oriented with strong accuracy in documentation. 

Ability to handle confidential information with discretion. 

Adaptability and willingness to take on diverse tasks to support 

institutional operations.
