Job Description
The Coordination Manager (Female) will play a pivotal role in ensuring smooth operations and effective coordination across various departments, programs, and events within IIA India. She will liaise with internal teams, members, and external stakeholders to facilitate seamless communication, project execution, and event management, directly supporting the CEO. Key Responsibilities Program & Event Coordination • Plan, coordinate, and oversee training sessions, workshops, seminars, and conferences across India. • Manage logistical arrangements, including travel, accommodation, and venue management. • Liaise with trainers, speakers, and vendors to ensure timely and successful execution. Membership & Stakeholder Management • Maintain relationships with members, corporate partners, and other stakeholders. • Assist in enrollment, renewal, and engagement processes for members. • Address queries and provide support related to programs, events, and membership services. Internal Coordination & Strategic Support • Act as a bridge between departments, ensuring smooth communication and workflow. • Track project timelines, deliverables, and deadlines for timely completion. • Prepare reports, presentations, and updates for the CEO and senior management. • Assist the CEO in planning and tracking organizational initiatives and meetings. Administrative & Compliance Support • Manage correspondence, maintain records, and document key activities. • Assist in budget tracking, expense reconciliation, and vendor management. • Ensure all activities comply with organizational policies and procedures. Digital & Communication Coordination • Support internal communications, newsletters, and member updates. • Assist with event promotions, social media updates, and feedback collection. Continuous Improvement & Member Engagement • Identify opportunities to enhance operational efficiency and member experience. • Collect feedback from stakeholders to improve program delivery. • Support member recognition programs, awards, and certifications. • Track attendance, feedback, and outcomes of training/events and prepare analytics for improvement. Key Skills & Competencies • Strong organizational, multitasking, and time-management abilities. • Excellent written and verbal communication skills. • Proficiency in MS Office (Word, Excel, PowerPoint) and basic project management tools. • Problem-solving mindset and ability to handle complex coordination tasks. • Strong interpersonal skills for engaging with internal teams, members, and external stakeholders. • Attention to detail and commitment to deadlines. Qualifications & Experience • Bachelor’s degree in Business Administration, Management, or related field. • 3–5 years of experience in program coordination, project management, or office administration, preferably in professional institutes, associations, or corporate environments in India with overall experience of 10+ years. • Prior experience in training, events, or membership management is desirable.
