Job Description

  1. Manage communication with new suppliers and oversee complete product onboarding processes.
  2. Assign, coordinate, and update tasks for both internal and external teams to ensure timely completion.
  3. Conduct business inquiries, surveys, market research, and data collection to support strategic decisions.
  4. Maintain databases, filing systems, and documentation for easy access and accurate record-keeping.
  5. Prepare costing sheets, reports, SOPs, presentations, and official correspondence as required.
  6. Serve as the first point of contact for calls and emails, ensuring proper response and escalation of critical issues to the Director.
  7. Handle customer complaints professionally and ensure timely resolution.
  8. Support relationship management with vendors, clients, partners, and regulatory bodies.
  9. Manage shipments, travel arrangements, transportation, and accommodation for the Director and key stakeholders.
  10. Organize meetings, conferences, and events with smooth end-to-end execution.
  11. Maintain the Director’s calendar, schedule appointments, and manage meeting access efficiently.
  12. Implement and maintain administrative processes and operational systems for improved efficiency.
  13. Track deadlines, follow up on pending tasks, and ensure completion of priority activities.
  14. Assist with financial tasks, including budget tracking, vendor payments, invoice management, and coordinating with accountants for taxation matters.
  15. Advanced Excel Skills: Including data analysis, pivot tables, and reporting.
  16. Negotiation & Vendor Management: Strong negotiation skills to drive cost savings and favourable deals.
  17. Communication Skills: Strong verbal and written communication for interacting with diverse stakeholders.
