Job Description

Job Title: Soft Service Executive – Third Party Payroll (Ciel HR)


Job Summary:


The Soft Service Executive will be responsible for overseeing housekeeping and facility soft services, ensuring high standards of cleanliness, hygiene, and operational efficiency across the premises. The role involves managing janitorial operations, supervising vendor staff, maintaining supplies and equipment, and ensuring compliance with operational and safety standards.


Key Responsibilities:


Housekeeping & Facility Management:


  • Supervise cleaning services across common areas and ensure proper maintenance of hygiene and sanitation standards.
  • Apply knowledge of janitorial practices including cleaning chemicals, consumables, waste management, and equipment maintenance.
  • Conduct daily inspections of the premises to identify cleaning or maintenance requirements and ensure timely resolution.

Team Supervision

  • Prepare work schedules and allocate cleaning and maintenance tasks to the housekeeping team.
  • Conduct daily briefing and debriefing sessions with staff regarding duties, assigned areas, and special instructions.
  • Ensure discipline, proper attire, and professional conduct among staff members.

Operational Standards & Process Management

  • Establish and implement operational procedures and standards for housekeeping operations.
  • Develop, review, and improve Standard Operating Procedures (SOPs), processes, and programs.
  • Prepare and implement operational checklists as per client or SME guidelines.

Inventory & Equipment Management

  • Maintain inventory of cleaning supplies, consumables, and equipment to ensure adequate stock levels.
  • Coordinate procurement of new equipment, supplies, or furnishings when required.
  • Ensure janitor closets and storage areas are maintained in a neat and organized condition.

Reporting & Budget Management

  • Prepare and maintain operational reports such as Daily Management Reports (DMR), Monthly Management Reports (MMR), and Quarterly Business Reviews (QBR).
  • Assist in cost estimation, budget preparation, and expense monitoring.

Vendor & Compliance Management

  • Manage vendor personnel including attendance, contract compliance, and performance monitoring.
  • Support employee relations matters and ensure adherence to statutory and regulatory compliances.

Site Enhancement & Landscaping

  • Plan and implement periodic beautification activities for common areas, including festival and event decorations.
  • Oversee landscaping and gardening activities at the site.

Training & Development

  • Conduct periodic training and skill enhancement programs for staff to support professional development and operational efficiency.
