Job Description
- Key Responsibilities1. PO Processing & Order ManagementReceive, verify, and process Purchase Orders from customers and sales team
- Cross-check PO details including quantity, pricing, GST, delivery address, and payment terms
- Coordinate with accounts for order confirmation and invoicing
- Maintain systematic records of all POs and order status
- 2. Inventory ManagementMaintain accurate inventory records of finished goods and raw materials
- Monitor stock levels and inform management for reordering or production planning
- Conduct periodic physical stock verification and reconciliation
- Track inward and outward movement of goods
- Minimize stock shortages, excess, and damages
- 3. Dispatch & Logistics CoordinationPlan dispatch schedules as per PO priority and delivery timelines
- Coordinate with transporters for vehicle availability and freight rates
- Prepare dispatch documents: invoice, e-way bill, delivery challan, packing list
- Ensure correct packing, labeling, and safe loading of goods
- Track shipments and ensure timely delivery
- 4. Transporter Follow-upRegular coordination with transporters for pickup and delivery
- Share LR details and delivery updates internally and with customers
- Resolve delivery delays, shortages, damages, or transit issues
- Maintain transporter records and rate history
- 5. Customer Follow-up & Business GrowthRegularly follow up with existing customers for new Purchase Orders
- Build strong relationships with customers to increase order frequency and value
- Inform customers about new products, schemes, and availability
- Track inactive customers and re-engage them for repeat business
- Coordinate with management for pricing, offers, and negotiation support
- 6. Amazon Product Listing & E-commerce SupportCreate and manage new product detail pages on Amazon
- Upload product information including title, descriptions, specifications, images, and keywords
- Coordinate with design/photography team for product images and content
- Ensure listings comply with Amazon guidelines and category requirements
- Monitor listing accuracy, stock availability, and basic performance
- 7. Documentation & ReportingMaintain proper records of POs, dispatches, invoices, and logistics documents
- Prepare daily/weekly reports on orders, dispatch status, inventory, and pending deliveries
- Maintain customer follow-up and repeat order tracking reports
- Support audits and internal reviews related to inventory and sales operations
