Job Overview:

We are seeking a Purchase and Order Executive to join our growing eCommerce team at IP SUPERSHOPEE PVT LTD. The ideal candidate will be responsible for managing the end-to-end purchase and order processing, ensuring smooth coordination between our suppliers, warehouses, and customers. This role is vital to maintaining inventory accuracy, timely deliveries, and excellent customer service.


Key Responsibilities:

  • Order Processing: Handle customer orders from placement to delivery, ensuring timely processing, dispatch, and accurate tracking of shipments.
  • Purchase Management: Coordinate with suppliers and vendors to purchase products as per inventory needs, ensuring stock levels are maintained and orders are fulfilled in a timely manner.
  • Inventory Coordination: Track and monitor stock levels to avoid product shortages or overstocking, collaborating with the warehouse and procurement teams for stock replenishment.
  • Supplier Relations: Build and maintain relationships with vendors and suppliers, ensuring the best prices and terms for products, and addressing any supply chain issues that arise.
  • Order Fulfillment: Ensure that customer orders are packed, labeled, and dispatched correctly, liaising with the logistics team for on-time deliveries.
  • Purchase Documentation: Maintain and update purchase orders, receipts, and invoices. Keep records of all transactions and ensure proper documentation for accounting and auditing.
  • Product Returns: Handle the process of product returns and exchanges, coordinating with suppliers or customers to resolve issues efficiently.
  • Customer Support: Provide proactive communication with customers regarding their order status, expected delivery timelines, and any issues that may arise.
  • Quality Assurance: Ensure that purchased products meet the required quality standards and that inventory is inspected regularly to avoid discrepancies.
  • Reporting: Prepare regular reports on purchase order statuses, inventory levels, and order fulfillment performance to upper management.


Skills & Qualifications:

  • Technical Skills: Proficiency in eCommerce platforms (e.g., Shopify, Magento, WooCommerce), and MS Office Suite (Excel, Word). Knowledge of ERP or inventory management systems is a plus.
  • Attention to Detail: Ability to manage large volumes of orders and products with accuracy and precision.
  • Strong Communication Skills: Excellent verbal and written communication skills for interacting with suppliers, customers, and internal teams.
  • Problem-Solving Abilities: Ability to quickly identify and resolve issues related to order fulfillment, purchasing delays, or inventory management.
  • Time Management: Strong organizational skills and the ability to handle multiple tasks, prioritize workloads, and meet deadlines.
  • Basic Knowledge of Supply Chain: Understanding of the procurement process, vendor management and shipping procedures.

Preferred Qualifications:

  • Bachelor's Degree.
  • Previous Experience working in eCommerce or retail purchase/order management.
