Job Description

First point of contact for patients—manage front desk, appointment flow, and outbound/inbound calling for leads, confirmations, and follow-ups. Maintain a warm, professional experience while keeping schedules, records, and payments accurate.

  • Key ResponsibilitiesFront Desk & Patient Experience
  • Greet patients, manage check-in/out, offer basic visit guidance and after-visit instructions.
  • Maintain reception area hygiene and a calm, welcoming environment.
  • Scheduling & Coordination
  • Create, reschedule, and confirm appointments in the calendar/CRM; manage waitlists and prime-time slots.
  • Coordinate with doctors/therapists for room readiness and patient flow.
  • Calling (Core)
  • Lead follow-up: Call/WhatsApp incoming Meta/GBP/website leads within 15 minutes; qualify and book consults.
  • Pre-visit confirmation: T-1 day and T-3 hours confirmations; share prep (e.g., no oil/sunscreen for scalp tests).
  • Post-visit follow-up: Check recovery, share aftercare, book review/next session.
  • Reactivation & recall: Reach out to no-shows and due-for-review patients.
  • Review requests: Ethically request Google reviews after positive visits (send link/QR).
  • Communication & Records
  • Handle phone/WhatsApp queries; provide accurate service info and pricing ranges as per clinic policy.
  • Update patient files, consents, invoices, and treatment notes in CRM (no clinical advice).
  • Billing & Admin
  • Raise invoices, take payments (cash, UPI, card, payment links), record daily closures, deposit logs.
  • Support inventory logs for consumables at front desk; flag low stock.
  • Compliance
  • Maintain confidentiality (HIPAA-like standards), obtain/verify consent for photos/reviews.
  • Follow clinic SOPs for safety, device room protocols, and refund/reschedule rules.
