Job Description

Key Responsibilities

1. Executive Support

  • Manage and maintain executive calendars, appointments, meetings, and travel schedules.
  • Coordinate and prepare materials for meetings, presentations, and reports.
  • Screen and route incoming communications, including email and phone calls.
  • Draft, review, and edit correspondence, documents, and presentations.

2. Meeting & Event Coordination

  • Schedule and coordinate internal and external meetings.
  • Prepare agendas, minutes, and follow-up actions.
  • Assist in planning executive events, board meetings, and leadership off-sites.

3. Travel & Logistics

  • Arrange domestic and international travel, including flights, hotels, and transportation.
  • Prepare detailed travel itineraries and ensure smooth logistics.
  • Handle travel expense reports and reimbursements.

4. Office & Administrative Management

  • Organize and maintain confidential files and records.
  • Support general administrative tasks that enhance operational efficiency.
  • Assist with procurement of office supplies and equipment when needed.

5. Stakeholder Coordination

  • Serve as a liaison between the executive team and internal/external stakeholders.
  • Handle confidential information with a high degree of professionalism and discretion.
  • Build strong working relationships across teams and partners.



Qualifications

Education & Experience

  • Bachelor’s degree preferred; equivalent experience accepted.
  • 3–7 years of experience as an Executive Assistant or in a similar high-level administrative role.
  • Experience supporting C-suite or senior leadership preferred.

Skills & Competencies

  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • High level of professionalism and discretion in handling confidential information.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and productivity tools (Google Workspace, project management software).
  • Ability to work independently, anticipate needs, and make sound decisions.
  • Strong problem-solving and multitasking capabilities.
