Job Description

6months training & then job offer, Core Responsibilities

  • Client Coordination & Communication: Acts as the primary contact for inquiries via phone, email, and in-person, providing information on equipment availability and rental services.
  • Booking and Schedule Management: Manages the diary for equipment, technicians, and transport, ensuring accurate scheduling of pick-ups, drop-offs, and on-site setups.
  • Logistics & Project Support: Assists with the administration of projects, including coordinating with technical teams on equipment needs, managing packing lists, and organizing transport.
  • Data Entry & Documentation: Manages rental agreements, client contracts, and invoices. Keeps records of equipment inventory levels and maintenance.
  • Invoicing & Accounts: Handles basic bookkeeping, such as processing invoices, tracking expenses, and following up on payments.
  • Office Administration: Manages daily office operations, including ordering stationery, maintaining office equipment, and distributing mail.
  • Visitor Management: Greets clients, freelancers, and vendors in a professional manner. 

Required Skills and Qualifications

  • Proficiency in Software: Strong skills in Microsoft Office Suite (Word, Excel, Outlook) or similar, and experience with CRM or rental inventory software.
  • Organizational Skills: Exceptional ability to prioritize tasks in a fast-paced, sometimes chaotic environment.
  • Communication: Excellent verbal and written skills for liaising with clients, technical crew, and management.
  • Technical Familiarity (Desirable): Basic understanding of AV equipment terminology is a plus, .
  • Problem-Solving: Proactive approach to resolving scheduling conflicts or equipment-related issues. 

Key Performance Indicators

  • Accuracy of rental bookings and schedules.
  • Speed of response to client queries.
  • Efficiency in managing office supplies and administrative documentation.
