JOB DESCRIPTION (JD)

Position: Personal Assistant (PA) to Director

Reporting To: Director

About the Role:

Vinayak Electrical is looking for a responsible, organized, and proactive Female Personal Assistant to support the Director in daily administrative, coordination, and communication activities. This role requires professionalism, confidentiality, and the ability to manage multiple responsibilities efficiently.

Key Responsibilities:

1. Administrative & Office Support

- Manage Director’s daily schedule, meetings, appointments, and reminders

- Handle calls, emails, WhatsApp messages, and follow-ups on behalf of the Director

- Prepare documents, reports, presentations, and MOM (Minutes of Meeting)

- Maintain proper filing of documents and confidential records

- Coordinate with internal departments such as Sales, Accounts, HR, and Operations

2. Communication & Coordination

- Act as a communication bridge between the Director and clients, vendors, and staff

- Draft professional emails, letters, and official messages

- Follow up on pending approvals, tasks, and commitments

- Coordinate meetings, visits, and business appointments

3. Business & Personal Assistance

- Assist the Director in daily planning and task prioritization

- Support in basic vendor coordination and documentation

- Handle travel bookings, reminders, and other assistance as required

- Ensure smooth day-to-day functioning of the Director’s office

4. Confidentiality & Professional Conduct

- Maintain strict confidentiality of company and Director’s information

- Represent the company professionally at all times

- Ensure discipline, punctuality, and structured working style

Required Skills & Qualifications:

- Graduate (Any stream)

- 1–3 years experience as PA / Executive Assistant / Admin (preferred)

- Good communication skills in English & Hindi (Marathi preferred)

- Knowledge of MS Word, Excel, PowerPoint, Email drafting

- Good coordination and follow-up skills

- Ability to multitask and handle pressure

- Honest, reliable, and well-organized

Preferred Candidate:

- Female candidate

- Smart, presentable, and professional attitude

- Comfortable working closely with senior management

- Andheri / nearby location preferred (optional)

Working Days & Timings:

- Working Days: Monday to Saturday

- Timing: As per office / Director’s schedule

- Flexibility required when needed

Salary:

Up to ₹25,000 per month (based on experience and skills)
