**PURPOSE OF THE JOB Responsible for overall Stores activity **PRINCIPAL TASKS AND RESPONSIBILITIES Ensure receiving procedure is followed Ensure the on time GRN is punched in system 1. Ensure inward QC is carried out for all inward items as per procedure 2. Ensure rejection note (For raising debit note) is issues against the rejection to stores department 3. Coordinate with Purchase department to remove rejected material from stores 4. Ensure Rejection note and GRN is approved and sent to accounts department 5. Ensure traceability of Batch Items in TALLY 6. Ensure short quantity is highlighted to purchase department and inform to purchase department and accounts department to take necessary action 7. Coordinate with purchase department to dispose-off the excess material 8. Ensure the Finished Goods Buffer Stock is maintained as per guideline’s given by Sales Department 9. Ensure Inward QC is done for all materials returned from Customers or production 10. Highlight shortage items to PPC as per material requisition raised by PPC department 11. Ensure Purchase requisition is raised against the shortage material or MSL items 12. Ensure Stock audit is done internally and report Negative stock and positive stock to Accounts department for stock adjustment with correct justification on stock difference 13. Ensure FIFO is followed on critical items 14. Ensure Proper filing of stores documents 15. Ensure material is issued on time 16. Ensure BIN card is implemented and updated regularly 17. Follow up with Purchase department for Purchase requisition raised by Stores Department 18. Ensure Stores MIS is submitted to factory head every month 19. Ensure actions are initiated to improve stores function 20. Ensure Material is issued against sales order or buffer stock 21. Submit Stock issue report Machine wise to Accounts department 22. Ensure Job work procedure of Challan issue and GRN is followed in stores department 23. Highlight discrepancy identified in Purchase Order rate, Quantity, Job work material transfers to plant head 24. Co-ordinate with service department to get replacement material back to stores (good Condition or rejected) 25. Co-ordinate with Production department for excess material issued – If identified against BOM 26. Ensure identification of system for stores & implementation for the same. 27. Ensure training is given to all stores executives, regarding the systems, policy procedures of stores 28. Recruitment and retrenchment of stores employees 29. Completely responsible for stock accounting in TALLY 30. Co-ordinate with Accounts department in case of stock adjustment – after stock take 31. Ensure raw material and consumable items buffer stock is maintained and monitor for replenishment
