Job Description

Manager - Docs and Govern.

A. Documentation Management (Export & Import)
  • Oversee end-to-end export documentation (Shipping Bills, LEO, stuffing lists, EIR, Seal verification).
  • Oversee import documentation (IGM processing, Bills of Entry, DO validation, Customs assessment, OOC).
  • Validate completeness and correctness of all customer/CHA submitted documents.
  • Ensure timely issuance and verification of Gate Passes, EIRs, and Cargo Handling Documentation.
B. Governance & Compliance
  • Ensure 100% compliance with Customs, SEZ (if applicable), DGFT, port regulations, and statutory frameworks.
  • Maintain updated SOPs for all CFS documentation activities.
  • Drive audit readiness for internal, Customs, and external audits.
  • Ensure proper documentation retention and record management as per regulations.
C. System & Process Governance
  • Ensure accurate and timely data entry in CFS systems (FRESA / LogiSys / ERP).
  • Govern EDI messages, digital documentation workflows, and internal systems.
  • Conduct periodic checks on documentation quality and error rates.
  • Drive automation initiatives and digital transformation in documentation processes.
D. Stakeholder Coordination
  • Liaise with CHAs, freight forwarders, shipping lines, and transporters for documentation.
  • Coordinate with Customs for approvals, queries, inspections, and clarifications.
  • Collaborate with yard, gate, and billing teams for operational alignment.
E. Reporting & MIS
  • Prepare daily/weekly/monthly MIS for documentation turnaround time (TAT).
  • Track documentation accuracy, queries, audit findings, and governance metrics.
  • Provide exception reports on discrepancies, compliance gaps, and systemic issues.
F. People Management
  • Lead and supervise the documentation team across shifts.
  • Train team members on SOPs, Customs regulations, and systems.
  • Conduct performance reviews and ensure skill development.
  • Graduate in Logistics, Supply Chain, Commerce, or related discipline.
  • MBA/PGDM preferred.
  • 5–10 years of experience in documentation/operations within CFS, ICD, port operations, CHA, or freight forwarding.
  • Strong understanding of EXIM processes and Customs documentation flow.
  • Experience in managing documentation teams and cross-functional coordination.
