Job Description: Admin Executive / Administrative Officer

Position Overview
We are seeking a proactive, organized, and detail-oriented Admin Executive to support the daily operations of our medical consultancy. The ideal candidate will ensure smooth office functioning, assist the management team, coordinate with clients, and handle administrative and operational tasks with professionalism.
Key Responsibilities
Office & Administrative Management
Manage day-to-day office operations, documentation, filing systems, and record-keeping.
Coordinate schedules, appointments, and meetings for management and consultants.
Handle incoming calls, emails, and correspondence professionally.
Maintain office supplies, inventory, and vendor coordination.
Client Coordination
Serve as the first point of contact for clients, hospital representatives, and partners.
Assist in preparing proposals, presentations, and consultancy reports as required.
Support consultants in organizing site visits, follow-ups, and project documentation.
Operational Support
Maintain databases, project trackers, and internal reporting formats.
Handle travel arrangements, accommodation, and logistics for the consultancy team.
Support HR-related functions such as attendance tracking, basic onboarding, and maintaining employee records.
Finance & Compliance Assistance
Assist the accounts team with basic bookkeeping, invoice tracking, payment follow-ups, and expense management.
Ensure all documents, contracts, MoUs, and compliance-related paperwork are properly maintained.
Support management in maintaining confidentiality and adherence to healthcare compliance requirements.
Qualifications & Skills Required
Basic Knowledge or some experience in administrative roles; healthcare/consultancy background is an advantage.
Strong communication skills (written & verbal).
Good proficiency in MS Office (Excel, Word, PowerPoint).
Excellent organizational and time-management skills.
Ability to multitask and handle confidential information.
Professional, polite, and customer-service oriented.
Additional Details
Working Days: Monday to Saturday
Timings: 10 am to 7pm
Salary: 10-15k As per industry standards / Based on experience
