Job Description
1. Pre-Procurement Planning
Study drawings, BOQ, and specifications
Identify material requirements based on quantities
Prepare Material Requirement Plan (MRP)
Coordinate with planning & site team for material schedule
🔹 2. Procurement Coordination
Raise Material Requisition (MR) based on site needs
Coordinate with procurement/purchase team for:
Vendor selection
Rate comparison
Finalization of purchase orders (PO)
Verify quantities and specifications before ordering
Ensure materials are procured within budget
🔹 3. Material Tracking & Dispatch Coordination
Track ordered materials from vendor to site
Coordinate dispatch schedules with suppliers
Verify dispatch documents:
Delivery challan
Invoice
E-way bill (if applicable)
Ensure timely delivery to avoid site delays
🔹 4. Site Verification & Store Coordination
Check received materials at site/store
Verify:
Quantity
Quality
Specifications
Coordinate with storekeeper for GRN (Goods Receipt Note)
Maintain material consumption record
🔹 5. Quantity Surveying & Measurement
Measure executed work at site
Prepare and maintain Measurement Book (MB)
Cross-check with drawings and BOQ
Ensure proper documentation for billing
🔹 6. Client Billing (RA Bills)
Prepare Running Account (RA) bills
Attach:
Measurement sheets
Work progress reports
Supporting documents
Submit bills to client/consultant for certification
Follow up for approvals and payments
🔹 7. Subcontractor Billing
Verify subcontractor work quantities
Check against work orders and agreed rates
Process and certify subcontractor bills
Coordinate with accounts for payment release
🔹 8. Cost Control & Budget Monitoring
Track project cost (material + labor + subcontract)
Compare actual vs BOQ quantities
Identify wastage, excess procurement, or cost overruns
Suggest cost-saving measures
🔹 9. Variation & Extra Work Management
Identify extra items not in BOQ
Prepare rate analysis for additional work
Submit variation claims to client
Maintain proper approvals before execution
🔹 10. Documentation & MIS Reporting
Maintain:
Billing register
Material inward/outward records
Payment tracking sheet
Prepare daily/weekly/monthly reports:
Work progress
Billing status
Material consumption
🔹 11. Interdepartmental Coordination
Work closely with:
Procurement team (for materials)
Site engineers (for execution & measurement)
Store team (for material tracking)
Accounts (for billing & payments)
Clients/consultants (for approvals)
🔹 12. Final Billing & Project Closure
Prepare final bill after completion
