Job Description
The Executive Office & Client Relations Associate will provide direct support to the Directors of the organization, managing executive communications, coordinating meetings, maintaining documentation, and ensuring smooth coordination between internal teams and external stakeholders.
The role also involves customer relationship coordination and CRM management, ensuring timely communication with clients and maintaining high standards of professionalism.
This position combines executive assistance, communication management, customer engagement, and operational coordination, making it an excellent opportunity for candidates seeking strong exposure to leadership and corporate operations.
Key Responsibilities
Executive Office Management
- Manage the Director’s calendar, meetings, and appointments.
- Handle incoming and outgoing communications including calls, emails, and correspondence.
- Prepare professional reports, presentations, meeting notes, and executive documentation.
- Maintain organized records of important documents and executive communications.
- Coordinate travel arrangements, meeting schedules, and business engagements.
Communication & Correspondence
- Draft and respond to professional emails, letters, and internal communications.
- Maintain professional communication with clients, partners, and stakeholders.
- Handle incoming and outgoing correspondence including emails, couriers, and documentation.
- Ensure timely follow-up on communications requiring action.
Customer Relationship Coordination
- Engage with clients through calls, emails, and follow-ups.
- Build and maintain positive professional relationships with customers.
- Support client communications and ensure timely responses to queries.
- Assist in maintaining strong customer engagement and satisfaction.
Customer Experience & Satisfaction
- Monitor customer queries and ensure timely resolution.
- Gather feedback and share insights with management for service improvement.
- Assist in improving processes that enhance customer experience and engagement.
Operational Coordination
- Coordinate with internal teams to ensure smooth execution of tasks and projects.
- Follow up on pending assignments and ensure timely completion.
- Assist in coordinating meetings, events, and internal communications.
Required Skills
- Excellent verbal and written communication skills (English and Hindi).
- Strong proficiency in Microsoft Office:
- Word
- Excel
- PowerPoint
- Strong drafting and email writing ability.
- Excellent time management and multitasking skills.
- Ability to handle confidential information with discretion.
- Strong organizational and coordination abilities.
