Job Description

The Purchase Executive will be responsible for sourcing, negotiating, and procuring raw materials, laboratory chemicals, reference standards, packaging items, engineering spares, and service contracts essential for R&D operations. The role ensures timely availability of materials while maintaining quality, compliance, and cost-effectiveness as per company procedures.


Key Responsibilities

1. Procurement & Sourcing:

  • Identify and evaluate suppliers for chemicals, reagents, lab instruments, consumables, and other pharma R&D requirements.
  • Request and compare quotations, negotiate rates, delivery timelines, and payment terms.
  • Develop alternate vendor sources to reduce dependency and improve cost competitiveness.

2. Purchase Order Management:

  • Issue purchase orders in line with approved requisitions.
  • Track and follow up with vendors to ensure timely delivery of materials and documentation.
  • Maintain accurate PO documentation and adhere to procurement SOPs.

3. Inventory & Material Coordination:

  • Coordinate closely with stores and R&D teams to ensure accurate stock levels.
  • Resolve material shortages, delays, and discrepancies proactively.
  • Support periodic inventory audits for purchased materials.

4. Compliance & Documentation:

  • Ensure adherence to regulatory, quality, and safety requirements for all purchases.
  • Manage vendor qualification documents, MSDS, COA/COO, and other regulatory paperwork.
  • Maintain database of approved vendors and purchase records as per audit standards.

5. Cost Control & Vendor Management:

  • Monitor market trends and pricing of chemicals and lab consumables.
  • Build strong vendor relationships to ensure consistent quality and service.
  • Evaluate supplier performance and recommend improvements.


Skills & Competencies:

  • Strong negotiation and communication skills.
  • Knowledge of pharma procurement, especially R&D lab materials.
  • Familiarity with GST, import documentation (if applicable), and basic commercial terms.
  • Proficiency in MS Office and ERP systems.
  • Attention to detail and ability to work in a fast-paced environment.
