Job Description
- Billing & Invoicing:Prepare and issue freight bills, trip bills, and other logistics-related invoices accurately and on time.
- Verify transport documents such as LR, POD, E-way Bill, BOE, invoice copies, and delivery proofs before billing.
- Ensure rate confirmation as per approved contracts, quotations, or customer agreements.
- Maintain proper billing records in ERP / TMS / accounting software.
- Transporter & Vendor Billing:Process transporter bills and verify freight charges, detention, halt, toll, and other expenses.
- Coordinate with operations team for trip closure and confirmation.
- Ensure timely submission and processing of transporter payments.
- Customer Coordination:Share invoices, supporting documents, and statements with customers.
- Resolve billing queries, discrepancies, and payment-related issues.
- Follow up with customers for pending documents required for billing.
- Team Handling:Manage and supervise the billing team for daily billing activities.
- Allocate work and monitor performance to meet billing timelines.
- Train team members on billing processes, documentation, and system usage.
- Ensure compliance with company SOPs and internal controls.
- MIS & Reporting:Prepare daily, weekly, and monthly billing reports.
- Share outstanding reports, revenue summaries, and billing status with management.
- Maintain accuracy in billing data and reports.
- Compliance & Coordination:Ensure compliance with GST regulations related to transport billing.
- Coordinate with Accounts, Operations, and Audit teams for smooth workflow.
- Support internal and external audits by providing billing records and clarifications.
- Skills & Competencies:Strong knowledge of transport billing and logistics operations.
- Experience in handling billing teams.
- Good understanding of freight structures and transport documentation.
- Proficient in MS Excel and ERP / accounting systems.
- Strong communication and coordination skills.
- Attention to detail and problem-solving ability.
- Qualifications & Experience:Graduate in Commerce or relevant field.
- 3–6 years of experience in billing operations within a transport or logistics company.
- Prior experience in team handling will be an added advantage.
