Job Description
- Core Administrative Responsibilities
- Documentation & Record Keeping:
- Manage and maintain all essential store paperwork, including invoices, bills, receipts, purchase orders, and sales records.
- Handle general office administration tasks like filing, data entry, correspondence (emails/calls), and managing schedules/appointments.
- Prepare and submit regular performance reports (daily, weekly, monthly) on sales, stock levels, and administrative activities.
- Coordination & Communication:
- Liaise and coordinate effectively with suppliers, vendors, internal departments (e.g., Accounts, HR, Purchasing), and head office.
- Assist the management team in implementing company policies and operational strategies.
- Office Management:
- Oversee office maintenance and ensure the availability of necessary store supplies (e.g., stationery, cleaning materials).
- II. 📦 Store Management & Inventory Control
- Inventory Management:
- Take overall responsibility for the store's stock, including receiving, unloading, and shelving supplies/merchandise.
- Conduct stock checks, physical counts, and audits to ensure accurate inventory records (often using an ERP system or internal database).
- Monitor stock levels, coordinate with purchasing to define minimum stock requirements, and place orders as needed to prevent stockouts or overstocking.
- Control the movement of stock, rotate inventory, and manage the disposal of damaged or surplus items.
- Store Operations:
- Ensure the store environment is clean, organized, and safe for both employees and customers.
- Implement and enforce security and loss prevention (LP) policies to secure merchandise and assets.
- Ensure compliance with all legal and company operational requirements.
- III. 🧑🤝🧑 Staff & Customer Support (Varies by Company)
- Customer Service:
- Handle customer queries, concerns, and complaints professionally, or ensure staff is trained to do so.
- Team Support:
- Oversee daily tasks and potentially assist in scheduling and assigning duties to store staff.
- In some smaller setups, this role might also assist with basic HR functions like new employee onboarding or relaying HR issues to the main department.
- Cash Handling (Retail Context):
- Oversee cashier operations and ensure proper cash handling and banking procedures are followed.
