Job Description

  •  Core Administrative Responsibilities


  • Documentation & Record Keeping:


  • Manage and maintain all essential store paperwork, including invoices, bills, receipts, purchase orders, and sales records.
  • Handle general office administration tasks like filing, data entry, correspondence (emails/calls), and managing schedules/appointments.
  • Prepare and submit regular performance reports (daily, weekly, monthly) on sales, stock levels, and administrative activities.


  • Coordination & Communication:


  • Liaise and coordinate effectively with suppliers, vendors, internal departments (e.g., Accounts, HR, Purchasing), and head office.
  • Assist the management team in implementing company policies and operational strategies.


  • Office Management:


  • Oversee office maintenance and ensure the availability of necessary store supplies (e.g., stationery, cleaning materials).
  • II. 📦 Store Management & Inventory Control


  • Inventory Management:


  • Take overall responsibility for the store's stock, including receiving, unloading, and shelving supplies/merchandise.
  • Conduct stock checks, physical counts, and audits to ensure accurate inventory records (often using an ERP system or internal database).
  • Monitor stock levels, coordinate with purchasing to define minimum stock requirements, and place orders as needed to prevent stockouts or overstocking.
  • Control the movement of stock, rotate inventory, and manage the disposal of damaged or surplus items.


  • Store Operations:


  • Ensure the store environment is clean, organized, and safe for both employees and customers.
  • Implement and enforce security and loss prevention (LP) policies to secure merchandise and assets.
  • Ensure compliance with all legal and company operational requirements.
  • III. 🧑‍🤝‍🧑 Staff & Customer Support (Varies by Company)


  • Customer Service:


  • Handle customer queries, concerns, and complaints professionally, or ensure staff is trained to do so.


  • Team Support:


  • Oversee daily tasks and potentially assist in scheduling and assigning duties to store staff.
  • In some smaller setups, this role might also assist with basic HR functions like new employee onboarding or relaying HR issues to the main department.


  • Cash Handling (Retail Context):


  • Oversee cashier operations and ensure proper cash handling and banking procedures are followed.
