JOB PROFILE: EVENT MANAGER(Field Operations | Planning | Execution | Crisis Handling)
Position OverviewThe Event Manager is a core execution authority responsible for planning, coordinating, managing, and successfully delivering events from concept to closure, regardless of time, weather, pressure, or unexpected challenges.
This role demands absolute ownership, field presence, long working hours, late nights, continuous travel, and the ability to solve problems instantly on-ground without excuses.
An Event Manager is expected to be mentally strong, physically active, technologically equipped, commercially aware, and emotionally intelligent.
- Nature of the Role (IMPORTANT)This is a 100% responsibility-driven role
- Not limited by office hours
- Workdays can extend day + night
- Events may require:
- Overnight stays
- Consecutive long days
- Working in heat, rain, dust, or high-pressure environments
- Personal comfort cannot override event responsibility
- Core Responsibilities1. Event Planning & CoordinationUnderstand client briefs in detail and convert them into workable execution plans
- Create:
- Event timelines
- Vendor task lists
- Setup & dismantling schedules
- Coordinate with:
- Production teams
- Decor vendors
- Sound, light & AV teams
- Logistics & transport
- Artists & talent
- Venue & hotel teams
- 2. On-Ground Event ExecutionBe physically present on site before, during, and after the event
- Supervise:
- Setup
- Rehearsals
- Live event flow
- Guest movement
- Breakdown & clearance
- Ensure zero delay, professional discipline, and smooth execution
- Handle multiple teams simultaneously
3. Problem Solving & Crisis ManagementThe Event Manager must:
- Take instant decisions during:
- Technical failures
- Vendor delays
- Artist issues
- Weather challenges
- Guest complaints
- Be a solution maker, not a messenger
- Never panic — control chaos calmly
- Escalate only when necessary, with solutions ready
- 4. Client HandlingRepresent the company professionally at all times
- Maintain calm, confident, and respectful communication
- Handle demanding clients diplomatically
- Ensure client confidence even during pressure situations
- 5. Vendor & Team ControlAllocate work clearly to vendors and staff
- Ensure adherence to:
- Timelines
- Quality standards
- Safety norms
- Enforce discipline on-site
- No tolerance for excuses or unprofessional behavior
- 6. Post-Event ResponsibilitiesEnsure proper dismantling
- Check material return
- Vendor coordination for closure
- Report completion status to management
- Support accounts team with closure details if required
- WORKING HOURS & CONDITIONSNo fixed working hours
- Events may require:
- Early morning starts
- Late-night or overnight work
- Continuous 18–24 hour operational days
- Weekly offs are event-dependent, not calendar-based
- Availability during weekends, holidays, festivals is mandatory
- TRAVEL & MOBILITY REQUIREMENTSMust be ready to travel anytime
- Must handle:
- Local city movement
- Outstation travel
- Destination events
- Own vehicle (2-wheeler or 4-wheeler) is mandatory
- Fuel / travel reimbursements as per company policy

- ELIGIBILITY CRITERIAMinimum 2–6 years of event execution experience
- Experience in:
- Weddings
- Corporate events
- Live shows
- Luxury / large-scale events (preferred)
- Graduate or higher preferred
- Fluent in Hindi & English (verbal)
- Ability to read layouts, schedules, and vendor BOQs
