Job Description: Executive Assistant (CA Firm) 

Position: Executive Assistant

Department: Chartered Accountancy / Office Administration

Location: — Tilak Nagar

Reporting To: Partner / Chartered Accountant

 

1. Job Summary

The Executive Assistant will support the Chartered Accountant and the office team by handling client coordination, follow-ups, administrative tasks, and basic accounting support. The candidate must be fluent in English and Hindi, maintain professional communication, and coordinate politely with clients and staff.

 

2. Key Responsibilities

 

A. Client Coordination & Communication

- Handle client follow-up for documents, payments, TDS/GST filing information, compliance reminders.

- Maintain polite and professional communication via phone, WhatsApp, email, and calls.

- Schedule client meetings and manage the CA’s calendar.

- Maintain a tracker of client submissions, due dates, and pending requirements.

 

B. Administrative Support

- Draft letters, emails, notices, and internal documents.

- Maintain office files, reports, and communication logs.

- Manage incoming and outgoing correspondence.

- Ensure timely reminders for compliance dates (GST, TDS, ROC, Income Tax).

 

C. Accounting Coordination

- Assist in basic accounting entries (optional as per skills).

- Coordinate with the accounts team for data collection and documentation.

- Follow up with clients for payment of professional fees.

 

D. Office Management

- Maintain schedules, follow up tasks, and ensure work completion.

- Support partners and team with daily operational tasks.

- Assist with MIS reports, billing, and document preparation.

 

3. Required Skills & Qualifications

- Graduate in Commerce / Business Administration preferred.

- Fluency in English & Hindi (spoken and written).

- Strong communication and polite coordination skills.

- Proficiency in MS Word, Excel, Email & WhatsApp communication.

- Ability to manage multiple tasks and follow up effectively.

- Knowledge of GST/TDS/ITR deadlines (preferred).

- Organized, punctual, and professionally disciplined.
