Job Description

Job Summary: We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and coordination support to senior leadership. The role involves acting as a key point of contact between clients, internal teams, and higher management while ensuring strong follow-up on tasks, schedules, and deliverables. The ideal candidate will be detail-oriented, discreet, and capable of managing multiple priorities efficiently.


Key Responsibilities:

  • Coordinate and communicate between clients, internal teams, and senior management to ensure smooth workflow and timely execution of tasks.
  • Maintain strong follow-up with higher authority regarding assigned work, updates, and pending actions.
  • Manage daily schedules, calendars, meetings, and appointments for senior executives.
  • Organize and prioritize meetings, prepare agendas, take minutes, and track action items.
  • Handle client communications professionally via email, phone, and meetings.
  • Monitor deadlines, ensure task completion, and provide regular status updates.
  • Assist in preparing reports, presentations, and official correspondence.
  • Manage confidential information with discretion and professionalism.
  • Support day-to-day Personal Assistant (PA) duties including travel arrangements, document management, and office coordination.
  • Anticipate executive needs and proactively resolve scheduling or coordination issues.


Required Skills & Qualifications:

  • Proven experience as an Executive Assistant, Personal Assistant, or similar role.
  • Strong coordination, follow-up, and communication skills.
  • Excellent time management and organizational abilities.
  • Ability to work closely with senior leadership and manage pressure effectively.
  • Proficiency in MS Office / Google Workspace and calendar management tools.
  • High level of professionalism, discretion, and attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
