Job Description

JOB DESCRIPTION – GENERAL MANAGER (GM) – MECHANICAL


Location: Head Office + Periodic Site Visits

Department: Plant & Machinery

Reports To: Managing Director / Director (Operations)

Team Reporting: Mechanical Engineers, Workshop In-Charge, Foreman, Service Technicians, Storekeeper (P&M), Operators


1. Role Purpose


To provide end-to-end leadership for the Plant & Machinery (P&M) division handling more than 50 construction machines and vehicles.

The GM–Mechanical ensures:

• Zero downtime

• Preventive maintenance discipline

• High machine availability for projects

• Cost control on spares, fuel, and repairs

• Efficient management of workshops, mechanics, and operators


This role is critical for road contractors and rental companies where machine uptime directly impacts project progress and profitability.


2. Key Responsibilities


A. Fleet Management (Core Responsibility)

• Manage complete fleet of 50+ machines including:

• Pavers, rollers, graders, loaders, excavators

• Hot-mix plant, batching plant

• Tippers, trailers, tankers

• Light machinery (cutters, compactors, DG sets)

• Maintain updated Machine Master File, asset history & service records.

• Deploy, withdraw & reallocate machines across sites based on project needs.


B. Preventive & Predictive Maintenance

• Create and implement Preventive Maintenance Calendar for every machine.

• Introduce predictive maintenance techniques (hour-meter based servicing, part life tracking).

• Ensure all major services (500-hr, 1000-hr, 2000-hr) are done on time.

• Avoid breakdowns by enforcing checklists and daily/weekly inspections.


C. Breakdown Control & Rapid Response

• Lead the emergency response for machine breakdowns across all sites.

• Dispatch mechanics or arrange recovery within defined timelines.

• Analyze root-cause after each major breakdown and implement “Corrective & Preventive Action”.


KPI: Reduce breakdowns by 40–50% within a year.


D. Workshop & Yard Management

• Oversee central workshop operations, inventory, job cards, and turnaround time.

• Ensure proper tooling, safety standards, and process discipline.

• Monitor attendance, performance & skill level of workshop staff.


E. Spare Parts & Inventory Control

• Approve purchase of spare parts, lubricants, tyres, and consumables.

• Enforce minimum stock levels, GRN system, and issue slips.

• Negotiate rates with suppliers and create approved vendor list.

• Prevent leakage, misuse, and duplicate billing.

• Maintain parts usage history by machine.


Goal: Reduce spare parts cost by 10–15% without compromising quality.


F. Fuel Management

• Set and monitor diesel consumption norms for each machine.

• Track mileage/consumption using logbooks and digital logs.

• Identify and eliminate pilferage.

• Implement GPS & fuel sensor solutions where feasible.



G. Equipment Procurement, Sale & Hiring Decisions

• Evaluate machinery requirements for upcoming projects.

• Inspect and recommend purchase of new machines (technical evaluation).

• Review quotations and negotiate with OEMs.

• Evaluate and approve hiring of machines from outside vendors when needed.

• Recommend selling scrap/dead assets.


H. Operator & Mechanic Management

• Ensure operators are certified, trained, and disciplined.

• Conduct periodic operator training on machine operation & safety.

• Maintain list of skilled mechanics & assign them based on expertise.

• Oversee manpower deployment for all sites.


I. Documentation, Compliance & MIS

• Maintain:

• Equipment logbooks

• Service records

• Repair costing

• Diesel logs

• Tyre tracking

• Insurance, PUC, permits & fitness certificates

• Submit weekly & monthly MIS reports including:

• Machine availability %

• Running cost per machine

• Breakdown report

• Fuel consumption

• Major repairs report

• Spare parts consumption

• Introduce digital systems (Google sheets, ERP, Tally or mobile app).


J. Coordination with Projects & Accounts

• Work closely with GM–Projects for planning machine deployment.

• Coordinate with Project Managers for daily machine requirements.

• Provide running cost details to accounts for project costing.

• Ensure bills of outside hired machines are verified & justified.


3. Required Qualifications & Experience

• B.Tech/Diploma in Mechanical Engineering

• Minimum 15 years experience in:

• Road Construction

• Construction Equipment Rental

• Heavy Equipment Fleet Management

• Logistics or plant & machinery division

• Strong experience in managing large fleets (30+ machines minimum).

• Knowledge of:

• Engines, hydraulics, transmission, electrical systems

• Preventive maintenance systems

• Vendor/supplier networks (P&M)

• Workshop management

• Fuel & spare control

• RTO & insurance documentation
