Payroll Specialist / Officer - Job Description

Position: Payroll Specialist / Officer

Experience Required: 5-6 years

Salary: $30,000 (Negotiable based on experience)

Location: [Naraina Industrial Area Phase 2]




Overview:

We are seeking an experienced Payroll Specialist to manage and process employee payroll with a high level of accuracy and compliance. The ideal candidate will have a strong understanding of payroll systems, tax regulations, and benefits administration. This role is vital in ensuring timely and correct compensation for employees, maintaining confidentiality, and supporting both HR and Finance teams.



Key Responsibilities:

  1. Data Management & Record Keeping:
  • Collect and verify employee timesheets, ensuring accuracy and timeliness.
  • Update employee records regularly, including new hires, terminations, and status changes.
  • Ensure all necessary documentation for payroll processing is complete and accurate.
  1. Payroll Processing:
  • Calculate and process employee wages, overtime, bonuses, benefits, and statutory deductions (such as taxes, National Insurance).
  • Review and resolve discrepancies in pay, working closely with employees to address any concerns.
  1. Compliance & Legal Adherence:
  • Stay up-to-date on tax laws, labor regulations, and company policies to ensure payroll compliance.
  • Process statutory deductions in line with current tax laws and employment standards.
  • Prepare and file tax forms, such as P45, W-2, etc., in a timely manner.
  1. Payroll Disbursement:
  • Ensure timely disbursement of employee salaries via bank transfers, cheques, or cash as appropriate.
  • Coordinate with finance for accurate budget forecasting and reporting.
  1. Reporting & Documentation:
  • Generate payroll summaries, internal reports, and tax documentation for management and regulatory compliance.
  • Assist in annual audits and respond to any payroll-related queries from auditors or finance teams.
  1. Employee Support:
  • Serve as the primary point of contact for payroll-related questions from employees.
  • Address and resolve discrepancies or concerns related to pay, benefits, or deductions.
  1. System & Process Maintenance:
  • Maintain and update payroll software, ensuring accuracy and efficiency in processing.
  • Work with HRIS systems to ensure seamless integration between payroll and employee records.



Key Skills & Qualifications:

  • Proficiency in Payroll Software & HRIS Systems: Experience using payroll systems and HR software to manage employee compensation and benefits.
  • Tax & Labor Law Knowledge: Strong understanding of payroll compliance, tax laws, and labor regulations in the relevant jurisdiction(s).ESI ,PF, Compliance.
  • Attention to Detail: High accuracy in data entry, calculations, and reporting.
  • Organizational Skills: Strong time management and organizational skills, with the ability to prioritize tasks in a fast-paced environment.
  • Confidentiality: Ability to handle sensitive information with discretion and maintain data security.
  • Problem-Solving: Ability to resolve payroll issues efficiently and with professionalism.
  • Basic Accounting Knowledge: Understanding of payroll budgeting, accounting principles, and financial reporting.
