Job Description

We are seeking a highly organized, detail-oriented, and proactive Personal Office Assistant to provide comprehensive administrative and operational support. The ideal candidate will be a tech-savvy professional with excellent communication and multitasking skills. This role is crucial for ensuring the smooth and efficient running of our office, managing client relationships, and handling critical documentation and tendering processes.


Key Responsibilities:


  • Administrative & Office Management:
  • Serve as the primary point of contact for internal and external communications.
  • Maintain and organize physical and digital office files and records.
  • Manage and schedule appointments, meetings, and travel arrangements.
  • Handle general office duties, including managing supplies, coordinating with vendors, and ensuring the office environment is well-maintained.


  • Computer & Software Skills:
  • Demonstrate strong computer skills and proficiency in various software applications.
  • Advanced MS Excel: Create, manage, and analyze complex spreadsheets, including using functions, pivot tables, and data visualization tools for reporting.
  • MS Word: Expertly draft, format, and edit a wide range of documents, including letters, reports, and presentations.


  • Communication & Email Management:
  • Manage the professional email inbox, including drafting, replying to, and composing emails on behalf of the management team.
  • Ensure timely and professional correspondence with all stakeholders.
  • Develop and maintain a system for efficient email organization and follow-up.


  • Client & Stakeholder Relations:
  • Act as a professional and friendly point of contact for clients from diverse locations.
  • Coordinate with clients, provide information, and address their inquiries professionally.
  • Schedule and prepare for client meetings and presentations.


  • Travel & Site Visits:
  • Be willing to travel to sites in Delhi as required for business purposes.


  • Tendering & Documentation (GEM Portal):
  • Must be well-versed with the Government e-Marketplace (GeM) portal.
  • Handle all aspects of tendering and documentation on the GEM portal, including bid preparation, submission, and follow-up.
  • Ensure all documentation is accurate, complete, and submitted within deadlines.
  • Maintain a repository of all tendering-related documents.


Qualifications:

  • Proven experience as a Personal Assistant, Office Assistant, or in a similar administrative role.
  • Exceptional command of written and spoken English.
  • High level of proficiency in MS Office Suite, especially Advanced MS Excel and MS Word.
  • Demonstrated experience in managing emails and professional correspondence.
  • Familiarity with the GEM portal and government tendering processes is a must.
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • Excellent interpersonal skills and the ability to deal with clients and stakeholders at all levels.
  • Flexibility and adaptability to handle a dynamic work environment.
  • A high degree of integrity and discretion in handling confidential information.
