Job Description

. Front Desk & Office Coordination

Maintain a neat, organized, and welcoming reception area at all times.

Coordinate meeting room bookings and ensure proper visitor seating arrangements.

Support internal teams with communication-related administrative tasks.

Escalate issues, queries, or complaints to the appropriate department in a timely manner.

Coordinate with Security, Housekeeping, IT, and Facility teams/vendors for smooth office operations.

Ensure company policies and protocols are communicated and adhered to at the front desk.

Represent the organization positively through professional appearance, conduct, and communication.

 

2. Visitor Management

Act as the first point of contact for all visitors, clients, and guests. 

Ensure proper visitor registration, ID verification, and compliance with office security protocols.

Inform concerned employees of visitor arrival and manage visitor waiting times efficiently.

Issue visitor badges and maintain accurate visitor records/logs/registers.

Coordinate with security and administration teams to ensure smooth visitor flow and access control.

 

3. Communication Management

Handle incoming and outgoing calls professionally and route them to the appropriate personnel.

Manage official front desk email IDs and ensure timely responses or escalation. 

Receive, record, and dispatch couriers, documents, and packages.

Ensure timely communication of messages, deliveries, and important information to relevant stakeholders.

 

4. Administrative Support

Maintain front desk records, registers, and basic MIS reports as required.

Assist HR and Admin teams with employee onboarding formalities and documentation.

Support general office administration activities as assigned.

Maintain confidentiality of organizational and employee information.

Educational Qualification 

 Graduate in any discipline (preferred) Experience 

 1-3 years of experience in a front office / reception / administra ve role 

 Prior corporate office experience will be an advantage
