Job Description: Regional Outlet Manager

Reporting Line

Reports to: Area Manager

Role Purpose:

To oversee and manage the performance of a cluster of outlets within a specific region, ensuring operational excellence, COGS and wastage control, SOP compliance, and customer satisfaction.

Key Responsibilities

• Directly supervise Outlet Managers and Assistant Outlet Managers across the assigned region.

• Monitor outlet-level performance dashboards (sales, KPT, order accuracy, complaints, COGS, wastage).

• Consolidate daily/weekly performance reports from Outlet Managers before submission to Area Manager.

• Conduct regular regional audits to ensure hygiene, SOP compliance, stock accuracy, and service quality.

• Identify recurring operational gaps across outlets and drive CAPA implementation.

• Resolve escalations from Outlet Managers and support them in complaint closure.

• Monitor manpower availability and coordinate with HR to fill gaps within the region.

• Validate stock consumption vs sales accuracy (Supplynote vs Petpooja) at outlet level.

• Mentor Outlet Managers and prepare succession pipeline for Assistant Outlet Managers.

Deliverables

• Weekly consolidated regional report on outlet KPIs (sales, KPT, accuracy, complaints, COGS, wastage).

• Audit compliance reports for each outlet under the region.

• Timely complaint resolution reports and CAPA tracker for escalations.

• COGS variance for region maintained within ±2% of benchmark.

• Wastage ≤ 1.5% of sales across outlets in the region.

• Consumption accuracy variance ≤ 3% across outlets.

• Monthly manpower deployment summary with attrition updates.

Key Performance Indicators (KPIs)

• Order accuracy ≥ 98% across outlets in region.

• Average KPT ≤ 8 minutes across region.

• Complaint should be less than or equal to 0.8%.

• Regional audit compliance ≥ 90%.

• COGS variance within ±2% of target at regional level.

• Wastage ≤ 1.5% of sales across region.

• Consumption variance ≤ 3% (Supplynote vs Petpooja).

• Staff attrition ≤ 10% annually.

Tools / Systems Used

• Petpooja (outlet sales & consumption dashboards).

• Supplynote (consumption tracking, GRN validation, wastage logs).

• Complaint tracker (for regional escalations).

• Audit dashboards (SOP, hygiene compliance).

• Internal communication tools (Slack/Teams).

Cadence

• Daily: Review performance dashboards and escalated complaints from outlets.

• Daily: Verify consumption variance reports and stock accuracy across outlets.

• Weekly: Conduct structured audits for at least 2–3 outlets in the region.

• Weekly: Submit consolidated performance summary for region to Area Manager.

• Monthly: Prepare regional manpower report and training progress update.

• Quarterly: Conduct succession planning reviews for Outlet/Assistant Outlet Managers.
